Customizing a Workflow Template in Backoffice

Workflows Exercise

Hello, let’s do the exercise for workflow management. In this exercise, you will learn how to create actions, decisions, and link them together in a workflow template using workflow designer. You will also learn how to apply and manage workflows in Backoffice. Specifically, I will go through the following 2 steps:  Step 1, I will create an Action Template for pricing Products.  Step 2, I will create 2 Decision Templates to connect the new action template to the workflow template.  As preparation, I will need to run the setup script first.  Let’s go to the hybris/bin/platform folder  and execute setantenv.sh to set the Ant run time environment.  If you are using Windows, please execute setantenv.bat.  Please also make sure the SAP Commerce Server is not running.  I’ll now switch to the exercise resource folder TraningLabTools,  and navigate to exercise_Workflows folder.  I’ll run the setup command for my workflow tasks.  The Setup process will create the manager users, I need for this exercise,  as well as the ProductCreation workflow template as illustrated in the exercise instruction file.  We will customize the workflow template later.  The setup process just ended successfully,  I’ll go back to the hybris/bin/platform folder  and start the SAP Commerce Server.  When the server is up and running,  I’ll go to Backoffice and log in as admin, with the password nimda.  I’ll find the workflow templates node,  search for the Product Creation workflow template, and open it. Then I will click on the Edit button to activate workflow designer mode.  You will see the predefined workflow template that we created by running the setup command.  However, everything is clumped together.  This is normal because the workflow template was imported via the setup impex scripts.  Let’s do some drag-and-drops to reorganize the workflow template a bit.  Now it’s good! Don’t forget to click on Save.  The reorganized visualization of the workflow template is saved  and the next time you edit the template again, it will be displayed in this reorganized way.  Now I’ll create the new action template.  I’ll click on the “Add Node” button and select “Action”.  As required in the exercise instructions, I’ll type in the action name,  assign the action template to the pricing manager, and set the action type to Start,  because it’s one of the starting nodes in the workflow template.  I’ll click Next and type in the name as well.  Remember this field is localizable, so I can also type in the name for other languages if needed.  I’ll click Finish.  Now the new action template is placed in the center of the workflow designer.  This is normal for any newly added nodes.  I’ll drag it to a more appropriate position.  That’s it for step 1.  Now let’s create decision templates to connect this new action template to the other part of the workflow template according to step 2.  Still in workflow designer,  I’ll click the “Add node” button,  but select “Decision” this time.  As required in the exercise instructions,  I’ll type in the ID and the name.  Remember the name is localizable if you want to give values for other languages.  I’ll click Finish, and drag the new decision template between the new action and the “and” operator. Now I’ll click on “Add Edge”, and I‘ll connect the ProductPricing Action template to the ProductPricingDone Decision template by clicking and dragging my mouse cursor from one to the other.  Similarly, I will connect the ProductPricingDone decision template to the “and” operator,  which itself connects to the Product Approval Action template.  OK, that is the first decision template to connect the product pricing action to the product approval action.  Let’s connect the approval action back to product pricing using a Reject decision template. I’ll click the “Add node” button and select “Decision” again.  I’ll type in the ID and name, then save the decision template and drag it next to the first new decision template.  Again, similarly to the previous steps,  I’ll first connect the Product Approval Action template to the ProductPricingRejected Decision template.  Then I’ll connect ProductPricingRejected to ProductPricing.  The workflow template is customized according to the exercise instructions,  let’s save the workflow template and close the workflow designer window.  Now I can log into the HAC and verify whether  everything was done right.  I’ll navigate to Console, Scripting Languages, browse the scripts repository  and load the workflows  exercise verification script. I‘ll execute it and view the Output tab.  Congratulations! The solution is valid.

Workflows Exercise Verification

Now that you finished the workflows exercise,  let’s also see how the customized workflow template can be applied and managed in  backoffice.  Specifically, I’ll show you: How workflows can be started based on the customized workflow template.  And how the  running workflows are used in backoffice.  I already introduced different ways to start a workflow based on a workflow template in the  previous lesson,  while in this exercise, we’ll be using the activation script.  During the exercise setup process, the customized workflow  template was prepared via an ImpEx script.  The ImpEx script not only created the skeleton of the workflow template for further  customization,  but also put an activation script for starting related workflows.  Let’s check out the activation script,  it is directly within the  workflow template here.  If you take a careful look, the activation script defines the following trigger conditions:  The affected item should be  a product, and if this product is created newly with the approval status as check.  Or an existing product’s approval status is set as  check.  If the conditions evaluate to true, a related workflow with the product as an attachment will be automatically created and  started.  Let’s navigate to the Product node and create a new product to try.  I’ll type in the necessary product information, either as  requested in the exercise instruction file,  or any arbitrary valid values.  Just remember to set the approval status as Check. Now if I open the collaboration center,  I can see that the new workflow has been created and started, where the priceManager,  categorizationManager,  and localizationManager should each be assigned to a task.  Let’s log out and log into Backoffice as  priceManager with the password 1234.  I’ll see a pending task in the collaboration center icon.  I’ll click on it,  know that someone asks me to  manage prices for some products.  I’ll click on the task, and do the price management as a priceManager usually knows what to do.  When  I finish managing the prices,  I’ll choose the appropriate decision and confirm it.  I’ll log out and log in again, as categorizationManager  and do the same.  I’ll also perform the same as localizationManager.  If I want to monitor the status of the workflow, I can log in as admin  again and check all the running workflows.  I see that all three of the actions have been executed, it's time for productManager to  approve or reject the product.  I’ll log in Backoffice as productManager with the password 1234.  Using the collaboration center, I can see the task for productManager.  I’ll approve the changes now.  Finally, if I log in as admin again and check the collaboration  center,  I can see that the workflow ended already successfully.  Congratulations! We just verified the application and management of  the customized workflow template.
