Starting and Monitoring a Workflow

Let’s look at how to start and monitor a workflow in Backoffice. I’ll first log into backoffice as admin. By default, the password for admin is nimda. Now, let’s look at the workflow template created in the previous lesson. Here it is. We are going to start a workflow based on this workflow template in Backoffice. To do that, we’ll need to assign a backend user to manage the workflow template. I’ll open the administration tab and look for a property called “Visible for principals”. This property contains a list of backend users who are authorized to manage the workflow template as well as the related workflows. I’ll assign the product manager into the list. Please note, the backend user I assigned to the “Visible for principals” property should belong to the Backoffice Workflow administrator Group. Now let’s log out of Backoffice and log back in as the product manager.  I can see the collaboration center, and I can monitor workflows or conduct workflow tasks here. I also see the option to create a workflow. Let me switch to the product cockpit in Backoffice. I can choose some products, and I‘ll drag them to the “create a workflow” action area. I’ll set the workflow template, and I‘ll give the new workflow an appropriate name. I’ll make sure the type of the attachment is Product, the items are the products I selected earlier. I can give an appropriate description too. Finally, I can start the workflow. The workflow is started, and I can monitor the workflow by showing the flow. Either the priceManager or the detailManager will need to conduct a task. I’ll log out and log back in as the priceManager. Here I can see the tasks assigned to me. Someone asked me to add some prices. I’ll open the task and see the products assigned in this task. When I am finished adding some prices, I can also add a comment to the task so that the other people working in the workflow will know what I did. Now I can choose a decision to confirm the task is done. If I log out and log back in as the product manager, I can see that one task has already been completed. I’ll log out and log in again as the detailManager. There is a pending task for me. I‘ll finish the task and add a comment to it. Then, I’ll choose the Done decision. This time I’ll log in as the qualityManager, who is supposed to check the changes. I’ll open the assigned task. I can see that the other colleagues have done some work. After I check their work, I will decide how the workflow will continue. If I am not satisfied with the prices and reject them, or If I am not ok with the details and reject them, the priceMangager, the detailsManager or both will have to try one more time. But if I ‘m happy with their work, I‘ll approve the changes. Finally, I’ll log back in Backoffice as the product manager. I can see that workflow is no longer there. I’ll open the overview of the collaboration center and select the “FINISHED” checkbox as well. Now, all the finished workflows are displayed and I can see my workflow again. The green nodes signify that those stages of the workflow have been passed successfully. You know that the workflow has been completed because all the decision boxes are shown in green. I can also check the other details of the workflow here. That’s it for a brief introduction to starting and monitoring a workflow in Backoffice.
