Document Management
SAP document management is used to integrate external files (originals) into the SAP system. The external files can have any format. The only thing you have to do is to define the right customizing entries that control the display and change process of the attached files.

There is no limitation in storing files to the document info record. The knowledge provider, which manages the files, can store N-files into the secure storage area. The preferred storage area in SAP S/4HANA is the SAP Content Server.
The required object is a document info record that controls the processing in the SAP system. The document info record can be linked to other SAP objects, like material master, customer, vendors, or production order to provide the original information in this way.

The document info record contains a special key, in comparison to the material master. The document version is a special field, which manages the release of the document in connection with the status network. When you release a document, the content is locked. Therefore, you have to create a new document version with a new document status.
The document status depends on a status network and the status network depends on the document type. Therefore, you are able to decide which status network is relevant for which document type.
The real information includes the assigned originals. If required, the originals can be stored in a security area and displayed or edited directly from the processing of the document info record. You can use the Visual Enterprise Viewer or the Microsoft Office Integration.
External CAD systems are connected to the SAP system by means of the PLM interface and external archive systems using the SAP ArchiveLink interface.
