Objectives
After completing this lesson, you will be able to:
Name property groups available for assignment to compliance views.
Depict definition of a work view combining basic compliance data and compliance assessments.
Explain phrase-enabled fields with phrases and the assignment to compliance requirement versions.
Recall regulatory graphics and graphic collections assigned to compliance requirement versions.
Outline the legal area concept and the concept for use of data.
Basic Compliance Data - Properties
Get insight on properties of the unpackaged product, raw material, or substance being part of basic compliance data.
Properties are available on compliance view types representing:
Unpackaged Product
Raw Material
(Company) Substance
Property Groups, combining individual properties, are assigned to compliance views by default. The assignments are specific for unpackaged products, raw materials, or substances.
You can create additional assignments from the list of available property groups in case you need supplementary properties.
When you create a compliance view, first versions of specific property groups – with processing status in progress for the comprised properties – are created automatically (A).
In case you need to supplement automatically assigned properties, you can manually assign additional property groups (M).
When assigning a property group, a first version with processing status in progress of the properties is created automatically.

You can directly navigate into the detail view of a property group …
or you change to the Work View app. Here, assigned properties, compositions and compliance requirement assessments are presented.
You can define own work views according to your needs in the Manage Work Views app.
An example work view according to the sections of a Safety Data Sheet is provided in standard delivery.
When you maintain the properties of a property group, note that for certain properties you can tick:
Not Applicable or
No Data Available,
which is valuable information compared to just a blank field.
This is important for example, for properties being relevant for safety data sheets.
Definition of Work View
Define your personal work view combining basic compliance data and compliance assessments.
The manage work views app provides functionalities to create individual views on compliance data of an unpackaged product.
In a most flexible way, in a work view you can combine
Basic compliance data such as
Compositions
Analytical composition, also legal area specific analytical compositions
Material-based composition
Properties
Compliance assessments.
To give structure to your work view, you create work view groups. You assign the required data - no matter if it is basic compliance data or compliance assessments for individual compliance requirements, including dangerous goods basic classification for selected regulations.
For example, you create work views combining the compliance assessments, relevant for a country, or legal area, or a specific regulation topic together with relevant compositions or properties.
You are free to create any work view you need to combine data to be utilized in your daily tasks.
You can, for example, create work views combining the compliance data you need
for specific documents such as safety data sheets, specific for countries/regions;
for specific regulatory topics, for example investigation on restricted substances.
When you create a new work view, you only need to give it a name – English is mandatory – along with required translations.
Next step is creation of work view groups. Creation only requires a name along with translations. Work view groups are specific per each work view, you can’t reuse work view groups from other work views
You add compliance data to the work view group – select your data from:
Basic data like properties;
Compositions, also legal area specific compositions are available;
Data originating from assessment of compliance requirements.
When you are finished with creation or editing your new work view, you activate it to make it available for display of the assigned data on the compliance view of an unpackaged product.
In the Manage Basic Compliance Data Unpackaged Products app, you can switch to the work view.
Use the action Switch Work View to change to another work view from the list of active work views.
The system comes with the default work view Safety Data Sheet Information.
Management of Phrase-enabled Fields Phrases
Get insight, on the assignment of phrase-enabled fields with their phrases to compliance requirement versions.
We frequently use phrase-enabled fields for data maintenance of properties, or in assessments for compliance requirements, or for basic compliance data, for example uses of a product.
You can manage these phrase-enabled fields in the "Manage Phrase-Enabled Fields" app.
You can add phrases according to your specific requirements for Fields indicated as Extensible – Yes.
Navigating into the details of a phrase-enabled field, you find all assigned phrases.
For those fields, which are extensible, you can add phrases by copying an existing phrase or creating a new phrase.
You can hide phrases, not intended to be used.
Any phrase you create – no matter if created new or by copying an existing phrase, will automatically get the Content Provider "Customer".
When creating a new phrase, the following data is mandatory:
Phrase ID
English translation
Take care to maintain all translations you require for your newly created phrase.
You can not modify phrases provided with the embedded regulatory content. These phrases are indicated by the Content Provider "SAP SE".
For these phrases you can only add additional notes for your purposes.
Regulatory Graphics - Graphics Library
Check regulatory graphics, provided in the graphic collections assigned to compliance requirements.
Regulatory graphics are of importance to make people aware of hazards or risks related to products or to provide information on precautionary measures.
Some examples on regulatory graphics
Dangerous goods uses hazard labels or placards placed on packagings or cargo transport units.
Hazard symbols assigned to a product are an outcome of the GHS classification.
Regulatory graphics are assigned to collections, which are part of compliance requirements.
A compliance requirement can have multiple graphic collections. A graphic collection comprises multiple graphics.
Utilize filters to find graphic collections by name or by compliance requirement.
Regulatory graphics are assigned to compliance requirements and thus are provided with the system embedded content.
Be aware that regulatory graphics are read only.
Find all regulatory graphics assigned to the graphic collection.
For more details, you can navigate to the details for a specific graphic.
Find the details of a specific regulatory graphic, for example the official graphic text.
Legal Areas - Concept and Customizing
Get a glance on how legal areas are defined in customizing.
Regulations and legal obligations, which are subject of product compliance, are mainly specific for countries/regions.
Therefore, we encounter cases, where compliance relevant data, which we need to assess for product compliance or needs to be published for example on a safety data sheet, must to be specific for a country/region.
Reflecting your business needs and related regulations, you can define required legal areas in customizing.
The validity area concept supports you with the option to maintain legal-area-specific data for unpackaged products or raw materials. The option to maintain legal-area-specific data is available for:
Uses, assigned to an unpackaged product;
Compositions
material-based composition after production;
analytical composition;
(definition of) confidential business information.
First you define your legal area - make sure, the first character is a "Z" for customer's namespace.
Then you assign country/region as required.
Be careful when assigning multiple countries/regions! You should avoid overlapping legal areas, since this can cause issues for processes consuming legal-area-specific data.
Examples for Legal Area Specific Data
Find examples for legal area specific data in compliance views.
When you use the action Create Analytical Composition, you must specify the legal area, it is valid for.
The validity area (World) is implicitly provided by SAP. You must create other validity areas according to your business needs.
Same applies, when you use the action Create Confidential Business Information.
In the details dialogue, you can now edit the data of the analytical composition, specific for the legal area you have selected upon creation – here the European Union.
Initially, data is copied from the globally valid analytical composition, assigned to the legal area (World).
When you create a use, you must specify the legal area, it is valid for.
The validity area (World) is implicitly provided by SAP. You must create other legal areas according to your business needs.
You can assign recommended uses or restrictions on use for the selected legal area in the detail dialogue.
You now find the globally valid and the legal-area-specific uses in basic compliance data.
In the details dialogue, you can now edit recommended uses and restrictions on use, specific for the validity area you have selected upon creation – here the European Union.
Remark: When maintaining uses, you can define the use of data.
The values public and internal for use of data are delivered by SAP.
You can create other values in customizing according to your business needs.
Use of Data - Concept and Customizing
Understand the use of data and the definition in customizing.
When you specify the use of data, you define where the data is to be used or printed.
Public is set by default.
There are 2 standard settings shipped:
Public - for use in public documents, external documents (such as safety data sheets or product info sheets), or compliance checks and communication with external regulatory data service providers. Data indicated public is also used for internal documents such as internal safety data sheets and worker safety instructions.
Internal - no further use in processes such as checks or document generation, but collection of internal information, for example for documentation or as further reference.
