SAP Cell and Gene Therapy Orchestration: Assign Tasks and Manage Exceptions

This lesson will enable you to assign and manage tasks as well as to raise and manage exceptions.

SA flowchart illustrating the process of managing a treatment order. The process is divided into six stages, each represented by an icon and a title. The stages are:1. Receive Treatment Order: Represented by a checkmark inside a circle.2. Manage Treatment Order: Represented by a document with connected nodes.3. Manage Biospecimen Shipment: Represented by a delivery truck.4. Manage Processing Activities: Represented by a laboratory flask.5. Manage Finished Product Shipment: Represented by a pallet with boxes.6. Confirm Receipt of Finished Product: Represented by a mobile phone with a checkmark. Each stage has three empty rectangular boxes below it, indicating steps or tasks to be filled in.

As you have seen, processing a treatment order end-to-end is very complex and involves several key stakeholders working together in a complex and individualized supply chain. Therefore, SAP Cell and Gene Therapy Orchestration offers task and exception management as a cross component to help managing this complexity and the exceptions that inadvertently will happen.

Navigating to a Task

To find a specific task or to get an overview of all available tasks, select the Manage Tasks app in the Task and Exception Management section of the landing page. As an example, the results of all tasks that are in status new are shown here. From this list, we pick the first one to review all the available details for this task.

The image shows a screenshot of the SAP Task and Exception Management interface. The top section displays the SAP home screen with options for Finished Product Processing, COI/COC, and Task and Exception Management. Under Task and Exception Management, there are two options: Manage Tasks and Manage Exceptions. An arrow points from Manage Tasks to the bottom section of the image, which shows the Manage Tasks interface. This interface includes filters for Editing Status, ID, Reference Object, Reference Object ID, Due Date, Status, Assignee, and Reporter. Below the filters, there is a list of tasks with columns for ID, Summary, Reference Object, Reference Object ID, Due Date, Priority, Status, and Alert. We also see which reference object, in this case it is a treatment order, this task was created to, as well as to whom it was assigned and by whom it was created. A task can also have other related task and a To Do List with items which the assignee can mark off as completed. A task can also have comments, attached documents, and logs.

A new task can be easily created with a reference to a treatment order by navigating to the treatment order in the Manage Treatments app and then using the button Create Task on the upper right. You will be directly asked to fill-out the necessary information and assign this task to an assignee. You can also create a to-do-list and add comments or documents.

To find a specific exception or to get an overview of all available exceptions, select the Manage Exceptions app in the Task and Exception Management section of the landing page. As an example, the results of all exceptions that are in status new are shown here. From this list, we pick the third one to review all the available details for this exception.

The image shows a screenshot of the SAP Task and Exception Management interface. The table is currently empty, with a prompt to set relevant filters and choose Go.

Providing Details For a New Exception

Here, you can provide general information for an exception like a summary/title, its priority, the status, start and end date, the required action as well as a reference object. This is also where you can assign an assignee and indicate completion percentage. The exception can also have a message type assigned to it. In our example, the types are error, information, success, and warning.

A screenshot of a New Exception form interface with three tabs: General Information, Exception Details, and Comments. The General Information tab is active and contains fields for Summary (marked with an asterisk indicating a required field), Due Date, Priority (with options like Low), Assignee, Action Required, Reporter (with an email address), Status (set to New), Reference Object/Reference Object ID (required), Exception Type (set to Technical), Start Date (set to Jun 25, 2024), Completion Percentage, and Message Type (with options like Error, Information, Success, and Warning).
