Configuring Email Reminders

Objective

After completing this lesson, you will be able to demonstrate configuring Email Reminders in Concur Request based on CVI's business requirements.

Email Reminders Configuration

In the Concur Request Business Requirements Overview unit, you learned that CVI has the following requirements:

  • Users should receive a reminder if they have an unsubmitted request over seven days old.
  • Approvers should receive a reminder if there are requests over two days old in their approval queue.

Working with Email Reminders

Steps

  1. Open the Email Reminders Tool

    Select Email Reminder from Request Admin to access the Email Reminder tool.

    Select Email Reminders from the Request Admin tools.

  2. Access the Rules Tab

    Select the Rules tab to access the Rules.

    Select the Rules tab.

  3. Create the Submission Reminder Rule

    Select the New button to create the Submission Reminder Rule.

    Select the New button.

  4. Enter Information about the Rule

    Enter information about the Rule by completing the Name and Reminder Type. Select the Next button to continue.
    1. Enter *Submission Reminder - 7 Days into the Name field.
    2. Select Request from the Reminder Type dropdown.
    3. Select the Next button.
  5. Create the Conditions

    Create the Conditions of Rules by completing the required fields. Select the Done button to continue.
    1. Create two conditions with the following criteria:
      1. Data Object: Request
      2. Field: Creation Date
      3. Operator: Not Within Today -
      4. Value: 7
      5. And
      6. Data Object: Request
      7. Field: Approval Status
      8. Operator: Equal
      9. Value: Not Submitted
    2. Select the Done button.
  6. Create the Approval Reminder Rule

    Create the Approval Reminder Rule by selecting Overdue Request Approvals. Select the Copy button to continue.
    1. Select Overdue Request Approvals.
    2. Select the Copy button.
  7. Update the Rule Name

    To update the Rule name, change the name in the Name field. Select the Next button to continue.
    1. Change the Name to *Overdue Request Approvals - 2 Days.
    2. Select the Next button.
  8. Update the Conditions

    To update the Conditions, change the condition that references the Entry Date. Select the Done button to continue.
    1. Change the condition that references the Entry Date to 2.
    2. Select the Done button.
  9. Navigate to the Email Reminders Tab

    Select the Email Reminders tab to navigate to the Email Reminders.

    Select the Email Reminders tab.

  10. Create the Submission Reminder

    Select the New button to create the Submission Reminder.

    Select the New button.

  11. Add the Details

    Add the details by completing the name, reminder type, include unsubmitted, reminder rule, frequency, email subject and email message fields.
    1. Enter *Submission Reminder - 7 Days into the Name field.
    2. Select Request from the Reminder Type dropdown.
    3. Select Yes from the Include Unsubmitted dropdown.
    4. Select *Submission Reminder - 7 Days from the Reminder Rule dropdown.
    5. Select Daily from the Frequency dropdown.
    6. Enter Unsubmitted Requests in the Email Subject field.
    7. Enter %2%, You have %3% unsubmitted requests that are 7 days old or older. Please review and submit those items as soon as possible. in the Email Message field.
    8. Scroll down.
  12. Complete the Details

    Add the details by completing the copy to approver, applies to, and active fields. Select the Save button to continue.
    1. Select Yes from the Copy To Approver dropdown.
    2. Select *Global from the Applies To dropdown.
    3. Select Yes from the Active dropdown.
    4. Select the Save button.
  13. Create the Approval Reminder

    Create the Approval Reminder by selecting Overdue Request Approvals. Select the Copy button to continue.
    1. Select Overdue Request Approvals.
    2. Select the Copy button.
  14. Update the Details

    Update the details by completing the name, reminder rule, and frequency fields. Select the Save button to continue.
    1. Change the Name to *Overdue Request Approvals - 2 Days.
    2. Select *Overdue Request Approvals - 2 Days from the Reminder Rule dropdown.
    3. Select Daily from the Frequency dropdown.
    4. Select the Save button.

Result

You have added CVI's Email Reminders.
