Introduction

In this unit, you will learn about Concur Request and gain insight into what Concur Request looks like and how to execute basic tasks as a user, approver, and administrator.

Overview of Concur Request

Concur Request is a preauthorization tool. It allows for your management to review and approve expenses before the money is spent.

What Is a Request?

A request is the document that gets created by users of Concur Request. It shows the details of the expenses that the user expects to incur at some point in the future. Requests can include travel estimates such as air, rail, hotel, and car rental costs and other expected expenses such as subscriptions, business meals, office equipment, and any other items a user might add to an expense report.

Expenses that can be booked in Concur Travel are referred to as Segments. Expenses that exist outside of Concur Travel are referred to as Expected Expenses.

Requests can also include cash advance requests and the list of guests at business meals or entertainment events. Some customers even use the tool to monitor requests for corporate cards and other Travel and Expense related items.

Available Integrations

Concur Request can be integrated with Concur Expense, Concur Travel, or both. This learning journey will cover some recommended configurations for integrating with Concur Expense but not Concur Travel.

Integrating Concur Request with Concur Travel is a challenging process. You will need to consult with a SME or your Mentor if you are working with this type of configuration.

Home Page Review

Once Concur Request has been added to a site, there will be some changes to the home screen. The image below is an example of what that may look like. The sections available to each user will vary based on the SAP Concur services that the customer has purchased, as well as the roles and permissions assigned to the individual user.

  1. SAP Concur: Selecting the SAP Concur icon takes users back to the home page.
  2. Menu: Users use the menu to navigate between the different SAP Concur tools they can access. For example, Requests, Travel, Expense, Invoice, Approvals, and the App Center. The items available to each user depend on the access your company has given them.
  3. Help and Profile: The question mark lets users access the online help documents. Users can select their initials to review and update their profile or work on behalf of others.
  4. Create New Items: The Create button is used to create new items within SAP Concur, such as requests or expense reports.
  5. In Work Documents: The numbers in these tiles show the user how many items in the system require their attention. Selecting that tile takes users to that area of the application. The items listed for each user depend on their level of access.
  6. More: If necessary, the More button appears, allowing users the ability to see additional items requiring their attention.
  7. Flight Search: Employees can begin the travel booking process here.
  8. Trips: If your company is using Concur Travel, this area shows the trips the user has booked.
  9. Detail Tiles: The detail of in-progress work appears in the tiles in the main body of the screen. Users can select an item to open it and work on it. If the tile includes plus (+) icon, the user can select it to create a new item of that type.
