Working with Company Administration

Objective

After completing this lesson, you will be able to explain the features of Company Administration.

Introduction

In this unit, you will refresh your knowledge of the User Administration and User Permissions tools that you learned about in the Concur Request Configuration Tools Overview unit. You will also know what changes need to be made to existing profiles and permissions when adding Concur Request.

  • Demonstrate configuring Company Administrations based on the customer's business requirements.

Company Administration Features

The two Company Administration areas you will work with when adding Concur Request to an existing Concur Expense site are User Administration and User Permissions.

User Administration

The User Administration tool is used to create and maintain user profiles, assign basic permissions, define approver relationships, set preferences, assign delegates, and more.

Along with the User Administration tool, there are three methods you can use to automate the maintenance of user profiles: through a scheduled file import, using an SAP Concur API, or using a third-party integration.

All four methods may be employed simultaneously and are not mutually exclusive, but SAP Concur recommends selecting one method and using it exclusively to avoid data conflicts. Please note the following key points about User Administration:

  • The business requirements control what fields are included in the user profile, how that data is entered, and which are required and optional.
  • A system-generated e-mail can be sent upon the manual creation of a user profile. This e-mail is not sent when a user is created through an automated method.
  • Users cannot be deleted, only deactivated.

User Permissions

The User Permissions tool is used to assign users additional access to the site, such as granting someone administrative rights.

Some permissions are granted globally, while others are group-aware, meaning they can be assigned to give users access to specific groups.

Specific permissions can be assigned by the automated processes listed in the previous section.

Select the various fields on the Request tab to assign permissions specific to Concur Request.

You use the Request tab in the User Permissions tool to assign permissions specific to Concur Request.

 Employee Administrator (Read Only)Gives the ability to look up user profiles, see their details, but not make edits. This role is group-aware.
 Employee MaintenanceAllows for the editing of existing profiles, but not the ability to create new profiles. This role is group-aware.
 Request Configuration AdministratorThis role gives the assignee full access to the request-related configuration tools. It is granted by SAP Concur resources upon the completion of this learning journey. This role is group-aware.
 Request Configuration Administrator (restricted)Gives access to a limited set of request-related configuration tools. This role can be assigned by your company, even to users that have not completed Advanced Configuration Training. This role is group-aware.
 Request Event ManagerIf your company is using Event Requests, users with this role can create a "master" event request for multiple event attendees. This role must be assigned with the Request Proxy Logon role.
 Request Proxy LogonSimilar to the Expense Proxy Logon role, users assigned this role can act as a proxy user for other employees. It is often used when troubleshooting. This role is group-aware.
 Role AdministratorThis role allows users to use the User Permissions tool to assign permissions to other users. This role is group-aware.
 Shared Configuration AdministratorThis role gives the assignee full access to the configuration tools that are shared by Concur Request, Concur Expense, and Concur Invoice. It is granted by SAP Concur resources upon completion of any Advanced Configuration Training provided by SAP Concur. This role is group-aware.
 Shared Configuration Administrator (restricted)Gives access to a limited set of the configuration tools shared by Concur Request, Concur Expense, and Concur Invoice. This role can be assigned by your company, even to users that have not completed Advanced Configuration Training. This role is group-aware.
Request ProcessorRequest AdministratorThis role is the equivalent of the Expense Processor role in Concur Expense. It is used in a workflow if your company needs an administrator of some type to review requests. This role is group-aware.
 Request AuditorThis role is used to give a user a read-only view of requests that are in the approval process. It is the same as the Expense Processor (Audit) role in Concur Expense. This role is group-aware.
 TMC AgentThis permission is assigned to a representative of your TMC or your own internal travel agents. In some regions, it is appropriate for the TMC Agent to access the request after submission but prior to manager approval. This allows the TMC Agent to add or edit segment amounts, ensuring accuracy for the request approver. This role is group-aware.
