Working with Email Reminders

Introduction

In this unit, you will refresh your knowledge of the Email Reminders configuration tool that you learned about in the Concur Request Admin Overview unit. You will recall how Audit Rules are configured and get to learn how to configure them for CVI in Concur Request.

Email Reminders Overview

Email Reminders are used to remind users if they have not performed a task within a set amount of time. In Concur Request, the two most common examples are to remind a user if they have not submitted a request and to remind an approver if they have not approved a request. You are able to configure the time interval, subject line, and message content of these e-mails based on the company's requirements.

Concur Request Email Reminder Facts

  • Email Reminders are sent out once a day, usually in the evening, by a batch job.
  • The logic and timing of these e-mails are based on calendar days. The system is unaware of holidays, weekends, or your fiscal calendar.
  • Email Reminders consist of a rule and an e-mail:
    • The rule determines what criteria must be true for the e-mail to be sent.
    • The e-mail defines the e-mail message and the frequency that the reminder is sent.
    • SAP Concur recommends configuring the rules first, then configuring the corresponding e-mails.
  • One rule can be used to trigger multiple e-mails.
  • E-mails are configured by group, so each group can receive messages specific to their needs.
  • The subject and body of the e-mail can include variables that will display data specific to that user.
  • Employees cannot turn off Email Reminders; when they take the appropriate action, the e-mail turns off until they are in violation again.
