Working with Locations

Objective

After completing this lesson, you will be able to identify the Locations features.

Introduction

In this unit, you will refresh your knowledge of the Locations configuration tools that you learned about in the Concur Request Configuration Tools Overview unit. You will also learn about the process to configure Locations and get to see how to configure them for CVI.

It is strongly recommended that you have a copy of CVI's business requirements available as you complete this unit.

After completing this unit, you will be able to:

  • Identify the Locations features.
  • Demonstrate configuring Locations based on CVI's business requirements.

Locations Features

The Locations tool is used by an administrator to add, edit, or deactivate Locations (cities, airports, and rail stations) on the Location list used in Concur Request, Concur Expense, and Concur Invoice. The default list of cities is provided by the United Nations but can be added to by configuration administrators. While many thousands of cities from around the world are already on this list, the list is not exhaustive, and you can add more Locations if needed. For example, there may be a city in which users regularly do business that is not on the list by default. You can add it if you wish.

If Concur Request is integrated with Concur Travel, the following rail locations are also available:

  • AMTRAK
  • Deutsche Bahn
  • SNCF
  • UK Rail

Some Locations may need to be manually added by the Administrator, either through the Locations tool or with a file import. These can include:

  • Rail stations from some vendors: China Railway, Eurostar, Swiss Federal Railways, Thalys, and Via Rail.
  • Additional United Nations locations, such as alternative names for the same city.

All Locations must have a corresponding Location Code. Most of the default cities use the LOCODE standard, provided by the United Nations. This is a five-letter code, such as USNYC and CZPRG for New York City and Prague. If you need to add a location, SAP Concur recommends using an alphanumeric, five-character code instead, to prevent conflicts.

Each Location must also have a Time Zone Offset. This is the number of minutes this Location is ahead or behind Greenwich Meantime (GMT). This value is used by the Travel Allowance module to ensure users get the appropriate allowances when traveling. Before entering a new Location, look up an existing Location in the same time zone and use that as a reference for entering the new Location.

Caution

The Allow automatic updates to locations option on the Settings tab is enabled by default. This means that if SAP Concur updates the master list of Locations, your site will be included in the update. Deactivating this option means you must perform this maintenance of Locations manually going forward.
