Running post payroll processes

Objectives

After completing this lesson, you will be able to:

  • Configure a posting process to submit production data to the accounting system and bank transfer process
  • Run a posting process to submit production payroll data to Financial Accounting (FI)
  • Run a bank transfer

Posting process configuration

Posting Process Configuration

This step involves configuring the posting process and the bank transfer process. Both processes are maintained by adding a new payroll period to an existing process. This step needs to be repeated for each payroll period.

Configure a posting process to submit payroll data to the accounting system

In Employee Central (EC), Emily Clark, as a payroll process manager, is updating a process using the new Manage Process screen. Updates are done for existing posting and bank transfer processes, moving the payroll period to January of the current year.

Posting process: production payroll data

Posting process

A posting process is carried out once the productive payroll process is complete.

The payroll process manager initiates the creation of posting documents. Posting documents are created to post the payroll results to a finance system. A posting document is used by the finance system as a source document for the creation of further documents.

A productive payroll data posting process consist of the following three steps:

  1. Creating posting document – posting documents are created based on the productive payroll results. At this point the status of the posting document is Created.
  2. Releasing posting documents – the status of the posting document is changed to Released in this step.
  3. Transferring posting documents – Released posting documents are transferred to the financial system.

In Employee Central (EC), Emily Clark, as a payroll process manager, needs to execute all post payroll processes, starting from generating and transferring posting documents.

Bank Transfers

Bank transfer process

The payroll process manager uses the preliminary data medium exchange (pre-DME) program to evaluate the payroll results to create payment data. Creating payment data is the first step in the process of wage and salary payment.

The bank transfer process is a three-step process:

  1. Create pre-DME file - the payroll process manager generates the preliminary data medium exchange (shortened DME) files.
  2. Create DME file - a DME file is a data exchange file, containing all bank transactions and having the same format as the file used by the bank for your country. The final DME files will be created based on the previously created pre-DME files.
  3. The DME file is used to send to the bank payment data formatted according to the banking rules of a country. The step of sending a data medium exchange file to the bank for processing is a purely a customer-defined process. This could either be a manual activity to download the DME file from application server and send it to the bank or an automated one in which the DME files are transferred to the relevant bank.

Run a bank transfer

Emily Clark, as a payroll process manager, needs to generate and send bank transfers in Employee Central (EC). First she starts the generation of the bank transfer. Sending the bank transfer requires three sub-steps.
