Managing Material

Objective

After completing this lesson, you will be able to manage material.

Material

In the SAP Cell and Gene Therapy Orchestration solution, this application can be found under the Master Data tab or use Manage Material in the open search section to access it.

The image shows the main navigation menu of an SAP software application. The Master Data section includes four options: Manage Therapies, Manage Organizations, Manage Contact Persons, and Manage Material.

A product code in the SAP Cell and Gene Therapy Orchestration solution handles the Biospecimen, Semi-finished product, Finished product, packaging product and so on. A material is the combination of combination of Material Type and Material Group that derives the Plant assignment, Shipping data, Sales and Distribution chain assignment, Therapy to Country/Region assignment and UoM Conversions.

Basic Data

The interface displays various sections, including Basic Data, Plant Data, Shipping, Sales Distribution Chain, Conversion Factors and Alternate Units of Measure, and Material To Therapy and Country. It also provides options for creating a new material and viewing the material's details, such as description, base unit of measure, material type, and material group.

The material master data setup consists of the following:

  • Unique ID of 40 characters
  • Description of 250 characters
  • Base unit of measure - this is the basis for inventory management; alternate unit of measures with conversion factors can be assigned under the section, Conversion Factors and Alternate Units of Measure
  • Material type from 'Configure Material Types'
  • Material group from 'Configure Material Groups'
  • Dimensions of the product including Gross weight, Net weight, weight unit, Volume and volume unit, and size/dimensions
  • EAN Category from 'Configure EAN Category'
  • EAN/UPC - to hold International Article Number required for Export
  • Is material locked - a material can be locked for further use
  • Division from Configure Divisions

Plant Data

The interface displays various fields related to plant-specific data, such as the plant, vendor material number, vendor number, batch management, automatic batch generation, and production details like expected production quantity and minimum order quantity.

Plant data holds the plant codes where the product is available, plant data consists of the following:

  • Basis data
    • Plant from 'Configure Plants'
    • Vendor material number - holds the material number in the records of our vendor
    • Vendor number - holds the vendor number
    • Is batch management required - controls the automatic batch number generation
    • Maximum number of batches - controls the number of batches that can be generated during Biospecimen and Finished product shipment creation
    • Non-serialized - suggests if the product is serial number enabled
    • Maximum number of subunits
    • Batch management - if the batch management is marked as 'Yes' this field gives the flexibility to generate batch numbers based on material or subunit or material and subunit combination
    • Automatic batch generation - if the batch management is marked as 'Yes' this field controls if automatic batch generation is allowed or not
    • Relevant for disposition - to handle product disposition
    • Marked for deletion
    • Temperature condition code from 'Configure Temperature Condition Codes'
    • Manufacturing date source - SAP Cell and Gene Therapy Orchestration allows the automatic determination of manufacturing date based on the entry selected here and it might be one of the following:
      • Actual COI confirmation date
      • Actual Processing Start Date
      • Actual Processing End Date
      • Biospecimen Preparation Date
      • Collection Date
      • Date of Formulation
    • Expected production quantity - a optional value to suggest the expected production quantity with UoM upon production completion
    • Minimum order quantity
  • Shelf life

Plant Data

It displays fields for entering plant-specific information, such as the vendor material number, vendor number, and shelf life details, including the total shelf life, shelf life expiration period, and shelf life rounding rule.

Shelf life

  • Total shelf life in days
  • Minimum remaining shelf life in days
  • Shelf life expiration period to suggest the expiration is measured on days or weeks or months
  • Shelf life rounding rule

Shipping

The image shows the Shipping section of the Manage Material interface in an SAP software application. It displays fields for entering shipping-related information, such as the transportation group and packaging product type. It also includes fields for entering the allowed packaging volume and weight.

Shipping details consisting of the following:

  • Transportation group from 'Configure Transportation Group for Material'
  • Packaging product type from 'Configure Packaging Product Type for Material'
  • Allowed packaging volume / UoM
  • Allowed packaging weight / UoM

Sales Distribution Chain

An assignment can be created against the material and sales organization created using Configure Sales Organization and against the material and distribution channel created using Configure Distribution Channel.

When a new assignment entry is saved, the status is set to Active by default. At any point in time, the assignment can be deactivated by providing the right Deactivation Reason and optional comments. In the same way, deactivated entries can be activated by providing the right Activation Reason.

Conversion Factors and Alternate Units of Measure

This section helps you to maintain the conversion values to convert the unit of measure from base unit of measure to any other standard unit of measure. Like if the product is measured in ml (milliliters) a conversion of ml to L (liter) is 1 to 1000. When a new UoM entry is saved, the status is set to Active by default.

At any point in time, the entry can be deactivated by providing the right Deactivation Reason and optional comments. In the same way, deactivated entries can be activated by providing the right Activation Reason.

It displays fields for entering the quantity denominator, base unit of measure, quantity numerator, and alternate unit of measure, as well as the status of the conversion factors and alternate units of measure.

Material To Therapy and Country/Region Assignment

This section helps in assigning the therapy to material, this is required to validate the product usage in the therapy during flow version confirmation. The dropdown helps by giving you the list of therapies and the corresponding Country/Region assignment of the therapy.
