Change Master

The central change management group for the Forklifter Company is looking for a tool in the SAP system that can be used to schedule, carry out, and document changes to SAP master data.

At present, changes to SAP master data are done on the date they occurred. However, detailed information about change steps done in the system are missing, that is who made which changes, when, and why?

Using a change master could be the solution.

This figure explains the change master structure. Follow the notes for more information.

When you create a change master, you first have to define the header information. You enter the general information, which is necessary for performing the object changes. This includes a brief description of the change, a validity date, or status details. In the header area, you can assign accompanying documents in the form of document info records, or you are able to classify the change number for a different record search.

You use the object types to determine which objects are to be changed and in what way. This could be done with or without object management records.

The object management records specify the objects in detail that are to be changed. They can either be created by the person responsible, or the system can generate them automatically.

Alternative dates allow you a fine degree of control over the valid-from date of individual objects.

Once you have defined the data for the header of the change master record, take care of the possible object types and the corresponding control.

For every object you have to define object type indicators.

The following indicators control processing with a change number for the individual object types:

  • Actv. = Each object for the relevant object type can be processed with the change number.

  • Object = An object management record is required manually for each object: It is only possible to make changes to an object of this object type if an object management record has previously been created for the object.

  • MgtRec = An object management record is generated automatically if an object of this type is created or changed with a change number. Note that in this case you can change all objects of this object type with the change number.

  • Gen New = Generate only for new objects: An object management record is automatically generated only when an object of this object type is created.

  • Gen Dial = Generate in dialog: When the system automatically generates an object, a dialog box appears where you have to enter object-specific documentation. This documentation is then visible in the object management record.

  • Lock = Object type locked against changes: You can set and, if necessary, release the lock.

After you have defined the data for the change header, consider the object types. You then define the object management records.
