Managing Documents

Objective

After completing this lesson, you will be able to manage documents in SAP CLoud ALM.

Document Management in SAP CLoud ALM

Documents will be created and edited directly in SAP Cloud ALM with rich text editor:

  • It is also possible to add links to external documents.
  • Under Additional Information you can find the context information of the document, for example the Project it is created in.

You can select the document Status from the following values:

  • In Progress (Default Value): You are still working on the document.
  • In Review: The document is ready, but not yet released.
  • Released: The document is completed.

SAP Cloud ALM as the Central Source of Truth for your solution documentation:

  • When a document is assigned to a solution process, it will be automatically inherited to the hierarchy node of the process.
  • Through the assignment to the process, the document gets part of a scope.
  • Documents can be assigned to one or multiple hierarchy nodes.

The Documents application lists all documentation in one central place:

  • You can filter and group them by different criteria’s.
  • The filtered list of documents can also be exported to a spreadsheet from here.
  • You will also find the documents on the related elements.

Create Documents

Business Scenario

As a Business Process Expert, you are asked to create documents.

Task Flow

In this exercise, you will perform the following steps:

  • Create a new document.
  • Add mandatory information and text.

Assign Documents to a Process

Business Scenario

As a Business Process Expert, you are asked to add Documents to Project Processes.

Task Flow

In this exercise, you will perform the following steps:

  • Find Document.
  • Create Relation to Process.
