Managing User Types in SAP CPQ

The Concept of User Types in SAP CPQ

In the previous lesson, we created a new company in SAP CPQ. In this case, a new user type may need to be added to the system. A new user is typically created in CPQ software when a new employee or team member joins the company and needs access to the CPQ system. This could be a salesperson, a customer service representative, a product manager, a pricing analyst, or any other role that requires use of the CPQ system.

User types control how users interact with SAP CPQ. Once user types are set up, permissions can be set for products, reports, workflow actions, and more based on the user type.

Definition and Management of User Types

To view a list of the user types in the system, navigate to SetupUsersUser Types. From this workspace, you can edit, copy, or delete an existing user type. Here, you may also add a new user type.

After creating a user type, enter their profile information and define the features available to them.

Select the Show Prices slider to determine whether users belonging to a group that can view pricing in the catalog, configurator and shopping cart.

Select the Allow Adding Incomplete Items slider to determine whether users belonging to the group can save incomplete configurations for future editing and completion.

Other fields to define access and information include:

  • Group name - Defines the name of the user type.
  • System ID - Automatically created by the system.
  • Description - Describes the user type.
  • Start page - Defines the landing page displayed when a user who belongs to the user type logs in to SAP CPQ.
  • Start category - Determines the default category in which the user group lands on when logging into SAP CPQ or when starting a new quote.
  • Default category view - Used to select a layout option of tabular, list, or custom.

In the following exercise, we will create own user type in the system.

At Supertech, there are a variety of job roles, each of which is assigned different duties. Each role must be properly designated and given appropriate permissions in SAP CPQ so that Supertech employees are able to perform all necessary responsibilities. The first step in this process is to create different user types.
