Managing Users in SAP CPQ

New Users in SAP CPQ

Unlike user types that are categorized based on their roles (as explained in the previous lesson), users are individuals with unique login details that are given access to the CPQ system.  

Users can be manually added one at a time or imported as multiple users from an Excel spreadsheet using the Bulk Import/Export feature.

The Users page enables administrators to:

  • View a list of all the users in the system
  • Edit, copy, or delete an existing user
  • Filter users by specific and advanced criteria
  • Add a new user
  • Select columns to be displayed on the User page using the Display Settings option.

To access the Users page, go to SetupUsersUsers.

User Information Organization

Upon adding or editing a new user, information is organized into the following tabs:

  • General
  • Address
  • Date and Number Settings
  • Additional Settings
  • Custom Fields

Next, let's continue setting a new user with a temporary password.

Temporary Passwords

A temporary password allows users to log into SAP CPQ and create a new password unknown to the administrator.

Administrators and users with delegated authority can create temporary passwords for other users under the General tab during the user creation process. Temporary passwords are useful when:

  • users forget their passwords
  • user accounts are locked
  • users have issues with resetting the existing password

You can determine whether a user receives email notifications by setting the application parameter "Do not email login details to users created by admin." If this parameter is set to FALSE, the following may occur:

  • When a temporary password is created for a NEW USER, the user receives two emails: one email contains a username, and another email contains a URL and a domain related to the temporary password.
  • When a temporary password is set for an EXISTING USER, the user receives one email with the URL and the domain related to the temporary password.

In both the cases, you must communicate the temporary password to the user outside of SAP CPQ, for example, by sending an email. Once a user logs in with the temporary password, they are prompted to set a new password.

If the application parameter "Do not email login details to users created by admin:" is set to TRUE, the user does not receive an email when a temporary password is set.

These individuals will assume the newly established role of Sales Manager, and a prerequisite for system utilization is the possession of their own user account within the system. Consequently, it is necessary to give access to them by creating new Users in the SAP CPQ system.
