Situation Handling Framework in SAP S/4HANA Cloud

The Situation Handling Framework helps customers run their business smoothly by automatically informing the right users about situations that require their attention and a resolution. For example, an upcoming deadline, a shipping delay, billing documents that haven't posted, expiring contracts, and many others. An end user is informed about situations through notifications in the SAP Fiori launchpad, by email, in the My Situations application, and/or the application where the situation occurred. Many situation handling templates are enabled by default in the SAP S/4HANA Cloud system - for example a situation template that notifies you when a migration object template with data is ready to be migrated, and when the migration of a template has completed.

Situation Handling (31N) is a business process from SAP Signavio Process Navigator that must be enabled using the set-up instructions and test script for the customer's systems.

In each line of business area (LoB), partner configuration experts should check to see which situation handling templates are relevant for their LoB, and identify which situation handling templates are enabled by default and which are not enabled by default. The templates that are NOT enabled by default should be discussed with customer LoB experts to determine if they should be enabled, and what information is required from the customer to successfully enable them. This includes building teams, adding members, and defining tasks (member functions) that each team member is responsible for with Responsibility Management. Find the master list of predelivered Situation Handling Templates here.

Note

We STRONGLY RECOMMEND enabling any situation handling templates relevant for business processes enabled in a customer's system. Situation handling is one of the features of SAP S/4HANA Cloud meant to improve the way customers run their business by alerting employees to issues immediately, often before anyone is aware of a problem, and providing suggestions as to how to resolve the situation as quickly and efficiently as possible.

Situation Handling Frameworks

There are two frameworks within Situation Handling that can be used in parallel with one another: Standard and Extended. The graphic below explains the common capabilities and functional differences between the two frameworks. Learn how to set up and use the two frameworks in the SAP Help Portal:

Graphic contains text highlighting the common capabilities and functional differences between the Standard Framework and Extended Framework. Common capabilities are: Use the Responsibility Management (1NJ) business process to define users responsible for handling situations based on team structures and responsibility rules; Get information about situations via notifications on the SAP Fiori launchpad, by email, in the My Situations app, and/or within the app where the situation occurred; and monitor the lifecycle and handling of situations. Under standard Framework, the text reads: Adapt predelivered situation handling templates to your business requirements; navigate from notification to the app where the situation occurred to get more info and resolve; and collect situation data to prepare the automated resolution of situations. Made possible by the Intelligent Situation Automation service running on SAP Business Technology Platform. Additional License required. Under Extended Framework, the text reads: Develop custom situation handling templates; navigate from notification to the My Situations – Extended app to get more info and resolve.

Note

Automatic resolution of situations is only possible with the Intelligent Situation Automation service, running on SAP Business Technology Platform. A separate license to this service is required and should be discussed between the partner project manager, customer project manager, and customer executive sponsors to determine if the customers will purchase a license for this service, and therefore if the service needs to be set up and integrated during the SAP S/4HANA Cloud implementation.
