Explaining the Necessity of Procurement Analytics

Objective

After completing this lesson, you will be able to explain the necessity of using analytics in procurement processes.

Procurement Data Analysis - Why?

Analytics for procurement is essential for gaining insights, identifying trends, and making informed decisions to optimize and streamline the procurement process. By analyzing data related to supplier performance, pricing, contract compliance, and spend analysis, organizations can identify cost-saving opportunities, mitigate risks, improve supplier relationships, and ensure better value for money. Analytics also help in tracking key performance indicators, assessing the effectiveness of procurement strategies, and identifying areas for improvement and develop actionable insights for better decision-making and strategic planning in procurement.

Common Procurement Reports

Some common procurement reports are the following:

  1. Spend Analysis Report: This report provides an overview of the organization's spending patterns, categories, suppliers, and trends. It helps in understanding where the organization is spending its money and identifying opportunities for cost savings and improvement.
  2. Supplier Performance Report: This report evaluates the performance of suppliers based on various metrics such as on-time delivery, quality of goods/services, pricing, and overall relationship management. It helps in identifying the best and worst-performing suppliers and making informed decisions about supplier relationships.
  3. Savings Tracking Report: This report tracks and measures the savings achieved through procurement initiatives, negotiations, and cost-reduction strategies. It helps in quantifying the impact of procurement efforts and demonstrate the value of procurement to the organization.
  4. Contract Compliance Report: This report assesses suppliers' and internal stakeholders' compliance with contract terms and agreements. It helps identify instances of non-compliance and ensures that contracts are being adhered to.
  5. Purchase Order & Invoice Accuracy Report: This report evaluates the accuracy of purchase orders and invoices, including discrepancies. It helps identify potential areas for improvement in the procurement process and avoid inefficiencies and costly mistakes
  6. Supplier Diversity Report: This report analyzes the diversity and inclusion of suppliers in the organization's supply chain, including the representation of minority-owned, women-owned, and small businesses. It helps in monitoring and promoting supplier diversity goals and initiatives.
  7. Inventory Management Report: This report provides insights into inventory levels, turnover rates, stockouts, and excess inventory. It helps in optimizing inventory levels, reducing carrying costs, and ensuring that the right products are available at the right time.
  8. Procurement KPI Dashboard: This dashboard provides a visual representation of key performance indicators (KPIs) such as cost savings, supplier performance, lead times, and inventory turnover.
