Applying Profile Workers to SAP Fieldglass Workforce Management

Profile Workers vs. Contingent Workers

As you already know, a Contingent Worker is a worker that is temporary in nature, and not ultimately an internally hired employee of an organization. They normally work in shorter terms against specific projects and requirements but are ultimately provided and managed by a third-party supplier. In that same capacity, Profile Workers are similar in the fact that they, too, are non-internal employees, and therefore external in nature to the buyer organization and must be submitted or provided by a supplier. Suppliers must be configured and enabled to provide both Contingent and Profile Workers in their profiles as well before engagement can begin in either worker category.

Differences

The core differences between Contingent Workers and Profile Workers comes down to their associated costs and responsibilities within the SAP Fieldglass application. Contingent Workers are hired against specific Job Postings, associated to Work Orders, and reflect specific rates and costs for submitted time spent completing tasks, duties, and their defined responsibilities. They are associated to a given rate structure and cost and have associated billing and invoicing tied to their services. Profile Workers do not have rates, costs, or invoicing associated to their population in the system. They are merely captured for head counting purposes and can reflect associated onboarding activities, but do not reflect any monetary value for a buyer company.

Profile Workers vs. SOW Workers

Like Contingent Workers, SOW Workers are also externally provided workers that a third-party supplier can provide in conjunction with a Statement of Work as part of the defined services rendered and delivered to the buyer organization. However, besides being an external non-employee, they are also similar to Profile Workers in the fact that dependent upon the SOW construction and definition, they too do not have to have a cost or rate associated with their engagement. An SOW could be constructed with all costs associated to milestones and deliverables, where an SOW Worker is just associated headcount to be tracked as part of a project.

Differences

The key difference between a Profile Worker and a Services Worker in SAP Fieldglass lies in how they are associated with work and contracts. As mentioned in their similarities, SOW Workers can just be onboarded and tracked for headcount purposes as required labor to deliver against SOW milestones or deliverables. The key difference is, however, that an SOW Worker can be associated to specific rates and configured to submit time and bill for time and services rendered. The option to configure rates and/or costs to a Profile Worker does not exist.

A Profile Worker is brought in for tasks that aren't directly tied to a project or contract. Imagine a cleaning person or a security guard working in a building with multiple tenants. The building owner (buyer organization) would create a Profile Worker in SAP Fieldglass for tracking, badging, and reporting purposes.

A Services Worker is a worker engaged through a formal agreement, typically a Statement of Work (SOW). The worker is part of a supplier organization that provides a specific service under the agreed upon contract. For example, a consulting firm might send a team of developers to work on a project as Services Workers within SAP Fieldglass.

Benefits of Profile Worker Utilization

One of the main benefits of utilizing Profile Workers within SAP Fieldglass is that it allows a buyer organization to have a full, all-encompassing view of the non-employees that may populate a given work site and/or location. Outside of just having transparency for the suppliers and contractors that may bill them for contingent labor or project services, by enabling Profile Worker functionality, a company can truly see and manage all individuals that third parties provide for a variety of reasons to engage with their organization.

This significantly helps to improve security and onboarding practices and ensures badging and access provisions are uniform and aligned across their facilities.
