Configuring the Profile Worker module

Objective

After completing this lesson, you will be able to list the configurations available to enable and use the Profile Worker module.

Company Configuration Requirements

Within the setup and configuration of a company in SAP Fieldglass, several specific settings are required to support the Profile Worker functionality. We will quickly review the configuration items that are deemed as required as well as other optional settings that may be enabled when utilizing this supported worker category.

Company Configuration Profile Worker Settings

Required:

  • Enable Profile Worker (Core configuration setting to enable Profile Worker functionality for a tenant)

Optional:

  • Auto Register (Configuration setting to automate registration of Profile Workers in SAP Fieldglass)
  • Optional End Date (Configuration setting to define whether Profile Worker end dates are required at creation)
  • Supplier views (Configuration setting allowing suppliers to view a buyer's rejection comments for supplier-created profile workers)
  • Auto Close (Configuration setting to establish automated closure of Profile Workers upon reaching defined end date)
  • Cost Center required (Configuration setting to determine master data association of Cost Centers to client Profile Worker records)
  • Default close date (Configuration setting based on the entered number of days when the profile worker record will automatically close)
  • Job Code required (Configuration setting that would require a job code to be entered and associated to Profile Workers)
  • Prevent Supplier from Closing (Configuration setting that grants Supplier access to close their Profile Worker records for a client)

Supplier Associations

In order for a Supplier to be engaged with Profile Workers in an SAP Fieldglass tenant, there are a few Supplier-specific associations that must exist.

Worker Type

The first step in including a Supplier as one that services Profile Workers is to enable the Profile Worker worker type in the Supplier’s record. This can be accomplished in two ways:

  • During the initial supplier invitation process, a supplier can either be invited as a non-transactional supplier.
    • This means the supplier will only be engaged with Profile Workers in this particular tenant, but won’t have the ability to support other types of workers.Non-Transactional Supplier Invitation
  • Or, an existing supplier can have their service type details updated to include Profile Workers in addition to either Temp/Contingent or Services settings that may also be enabled. Transaction Supplier Invitation with Profile Worker

Non-Transactional Suppliers

When a new Supplier is invited to join a buyer’s program in SAP Fieldglass, an initial setup step is to determine if this supplier is Transactional or Non-Transactional. So what does that mean for Supplier engagement in the tenant, particularly the Profile Worker module?

Transactional and Non-Transactional Defined

A Transactional Supplier in SAP Fieldglass is a vendor or supplier that is engaged in transactional, project-based work. They provide temporary workers, consultants, or specialized labor for specific projects or periods of time. These suppliers are managed through the Contingent and Services modules, although being a Transactional supplier also allows for them to support Non-Transactional Profile Workers.

A Non-Transactional Supplier in SAP Fieldglass is a vendor who is exclusively associated to non-transactional workers. Since these workers are not managed by the buyer or supplier in the SAP Fieldglass application, but rather a third party source, they do not engage with job postings, SOWs, time sheets, expense sheets, or any payment properties in the application.

For suppliers who are exclusively non-transactional, they do not have SAP Fieldglass accounts or access to the application. Although they are sent an 'invitation' to register, this is only to create the supplier profile which will allow the Buyer to select that record when adding Profile Workers.

Service Types

When a Non-Transactional supplier is invited to join a buyer’s tenant in SAP Fieldglass, they are only able to be associated with the Service Type of "Profile Worker."

When a Transactional supplier is invited, however, the buyer admin has the ability to associate them to Transactional Service Types (Contingent and/or Services) as well as Non-Transactional Service Types (Profile Worker). This can be configured during the supplier invitation process, or their Supplier Profile can be edited later if the Supplier begins to support this category of worker.

User Role Permissions and Visibility

In order for a buyer user in SAP Fieldglass to engage with a Profile Worker, the User Role they are associated to must have the appropriate permissions enabled.

Within the User Role Permissions setup, there is a dedicated section specifically allocated for the Profile Worker module. Associating a User Role to permissions around Profile Worker View, Submit, Manage, Approve, Close, and Others will determine how Users associated to the User Role can interact with Profile Workers in the application. Due to the simplicity of these workers and this particular module, no additional permissions are required.
