Managing Profile Workers in SAP Fieldglass

Objective

After completing this lesson, you will be able to explain how to manage the full lifecycle of a Profile Worker in SAP Fieldglass.

Editing Profile Workers

For users with appropriate permissions, the ability to Edit a Profile Worker is available in the Actions drop-down on that worker record.

For all Profile Worker edits, some fields are locked down and cannot be edited, such as personal information and which supplier they are associated with.

However, data like master data (Cost Center and Business Unit), primary supervisor, start and end dates, and even their associated Security ID can be edited if required or desired.

As the administrator for WorkingNet, you are informed by the ReCrewIT supplier that the Profile Worker that was added earlier, Jonathan Katzman, needs to extend his duration, as he’ll be performing similar non-transactional security related services at another location for WorkingNet that will extend out another month. As the buyer administrator, you are able to edit the profile worker record to reflect these changes.

Tracking Revisions / History for Profile Workers

If any changes have been made to a Profile Worker’s record in SAP Fieldglass, previous versions and changes will be available from a historical data perspective.

The Revisions tab is where previous versions of this worker’s record can be found, including the most current and up-to-date record.

Selecting a previous version allows the user to view the data and associations that previously existed, for example the change we made to their End Date and Location.

Resetting Profile Worker Passwords

For Profile Workers that do need access to SAP Fieldglass, they can manually create login details for their account in the application. Should they need their Password to be reset, a password reset email can be triggered in the application by having a Buyer or supplier user go to their Profile Worker record, select the Actions dropdown menu, select "Reset Password" and then select "Reset" in the modal window. This activity will reference and utilize the associated email for the record that was captured at time of creation and registration. A new email cannot be entered at the time of password reset.

Resending Profile Worker Invitations

If the workflow for Profile Workers includes having the Profile Worker register in the application, a dropdown option will be available in the Actions menu of their record. This option is titled "Resend Invitation" and would trigger a new registration email to be sent to the Profile Worker, based on the email address in their record. However, at the time of requesting the invitation be sent out, a user can amend the populated email address if this has changed, been updated, or needs to route to a supplier account on behalf of the worker.

Auto-Registration or Already Registered

If the Profile Worker has already registered, or if Auto-Registration was enabled for their initial invitation, the Resend Invitation option would not appear in the Actions drop-down menu.

Closing Profile Workers

Buyer users with appropriate Profile Worker permissions can close Profile Worker records manually in the application. This can either be done before the end date on the record, if there is one, or in lieu or auto-closing based on a chosen end date.

When a Profile Worker is being closed manually, a modal window appears requiring that a Reason be chosen for closing this worker record. The list of reasons that appear are preconfigured reason values that have been added to the Buyer tenant’s Reason admin object. An effective date is also required for the close date of this worker, which determines when exactly their record is officially closed- this could be the current date, a date in the past, or a date in the future.

It is highly recommended to enable Auto-Close for Profile Workers, as many suppliers have little incentive to complete the actions correctly and maintain the records in the system for their clients.

Supplier users are only able to close Profile Workers manually if the Company Configuration is enabled to allow them this function.
