Understanding the Transactional Process Flow for the Profile Worker Module

Buyer Creation vs. Supplier Creation

Profile Workers can be added to a tenant in SAP Fieldglass by appropriate Buyer users or Supplier users.

Buyer and Supplier Profile Worker Creation

When a user from the buyer side, who has the appropriate Profile Worker permissions enabled, wants to add a Profile Worker to their tenant, the first value they must choose is the Supplier name.

When a Supplier user, whose account has been configured to support Profile Worker functionality, wants to add a Profile Worker to their tenant, the first value they must choose is which Buyer to associate them to.

Supplier Creates a Profile Worker

WorkingNet’s supplier, reCrewIT, has recently modified its offered services to not only provide Contingent and Services workers, but now supports non-transactional Profile Workers as well. Since the supplier has such personnel onsite at a new WorkingNet location, they will need to add those Profile Workers into the buyer tenant so WorkingNet can track their security access and monitor them from a headcount perspective.

Buyer Approval Process

Best practice for adding new Profile Workers to a tenant is to have a Buyer Review step. In SAP Fieldglass, this usually means the first approval step in the Create Profile Worker Approval Group is to assign "Editor" responsibilities to the tenant’s Program Team.

When this happens, the PMO users in WorkingNet would receive a work item to Review Profile Worker. They can then edit the Profile Worker record, or if no changes are necessary, approve the Profile Worker for formal creation and reflection in the system.

Approval/Rejection of Profile Worker

Regardless of who adds the Profile Worker to the tenant, the Approval Group for Create Profile Worker that is associated to the worker’s assigned Business Unit will be activated. This includes the Buyer Review above (configured as the first level in the Approval Group) as well as any other approvals configured in that Approval Group.

Onboarding Activities / Checklists

Similar to adding Activities and Activity checklists to Contingent or Services workers, these objects can be assigned to Profile Workers as well. As you saw in the recent simulation as the reCrewIT supplier, it is a simple optional action that can be completed when creating and adding a Profile Worker to a buyer tenant.

Activity Examples

Given our example of Security Personnel supporting the WorkingNet office space, an example activity item that WorkingNet would want to track for a Profile Worker is their badging process. It is important that when a Security Guard is added to the building and the floors that WorkingNet occupies, that they be given appropriate badging and access.

It would also be important when each of these Profile Workers assignments ends, an Activity Item triggers to ensure their badging and access are removed for security purposes.
