Closing Contract Workspaces

Objectives

  • Explain the procedure for creating termination agreements.
  • Explain the procedure for manually closing contracts.

Termination Amendments

Termination amendments are used to close a contract before its scheduled expiration date. They allow you to modify the expiration date and reminder settings. Use this amendment type when a contract needs to be closed early due to an adverse condition or disagreement. This amendment type cannot be applied to closed or expired workspaces.

If you create a Termination amendment, the contract status changes to Draft Amendment.

Screenshot shows the steps you need to perform in the UI to terminate the contract. From the Actions dropdown in the Contract Attributes you choose Amend. The amendment type displayed is Termination. The contract displayed moved to version V1 (editing).

When the amendment is complete, you must Publish it again.

If the workspace has tasks that are repeated for each new draft of the workspace, new tasks are created to handle the amendment process.

It is important to note, the system does not send contract expiration or notice email notifications (notifications scheduled according to the contract notice period) when the contract status is Draft Amendment.

Manually Closing Contracts

There might be specific business situations when the contract has to be closed instead of terminated. In SAP Ariba Contracts, you can choose to manually close a contract workspace if necessary. However, if you want to work on a contract after you've closed it, you have the option to amend the contract.

To manually close a contract workspace, the contract must be in one of the following statuses:

  • Draft
  • Published
  • Expired

Closing a contract

These actions will successfully close the workspace:

  1. Open the contract workspace you want to close.
  2. Go to the OverviewContract Attributes section.
  3. Select ActionsClose.

Contract Deletion

By default, you can delete the project if the following conditions are true:

  • You are a project owner or a user with project owner capabilities for a project.
  • None of the tasks have been started.
  • Workspace has not been published or amended.

You might want to delete a project if an error is made, if the wrong template is selected, or if it's a test project that needs to be removed.

Note

Deleting a project is a permanent action and cannot be undone.
Warning message is displayed asking if Do you want to delete the project Amendment TEST . Users can select the Cancel button or the Delete button.
