Editing Contract Workspaces

Considerations when Editing Contracts

SAP Ariba Contracts allows you to manage the entire contract lifecycle in a centralized location. Here are the main stages in a contract workspace lifecycle:

After you complete and publish a contract workspace, you can only change it by amending it.

When you create an amendment, fields in the workspace become editable. Certain amendment types unlock contract workspaces for editing by creating a new version of the workspace. In this case the contract status changes from Published to Draft Amendment and a new round of approvals will be required when publishing the modified version of the workspace.

Amendments can be made by the contract workspace Project Owner. They are required to specify the amendment type and reason for the change.

Different amendment types allow for various changes within the workspace. Some amendments modify the actual contract terms, potentially requiring additional approvals before the contract can be republished. Others impact only the contract workspace’s upkeep in the user interface, without altering the contract terms, but are still essential for managing the workspace effectively.

Creating an amendment does not affect the status or version number of the documents in the workspace. A new version of the project is not created until you publish an amended project or you complete an administrative amendment; when the new version is created, the workspace version number is incremented.

SAP Ariba increments the workspace version number when you publish the amended workspace or complete the administrative amendment.

Amendment Procedure

  1. In the Contract Attributes area of the Overview tab, choose ActionsAmend.
  2. Choose an amendment type. The options are:
    • Administrative
    • Renewal
    • Termination
    • Amendment
    • Price Update (available only if the site configuration allows the use of Contract Line Items Documents)
  3. Add an amendment reason. And select OK
  4. Change the workspace or workspace documents as needed.
  5. Navigate to the Contract Attributes area of the Overview tab and perform one of the following actions:
    • For Amendment, Renewal, or Termination amendments, choose ActionsPublish to publish the amended contract workspace. If the effective date is now in the future, the contract workspace status changes to Pending; otherwise, the status changes to Published.
    • For Administrative or Price Update amendments, choose ActionsComplete Amendment.

Note

If the workspace has tasks that are repeated for each new draft of the workspace, new tasks are created to handle the amendment process.

The available amendment types for a workspace depend on the project type and the values in the following fields:

  • Expiration Date
  • Contract Status

The Renewal, Amendment, Administrative, and Termination types appear for contract workspaces with an expiration date in the future and one of the following statuses:

  • Published
  • Closed

The Renewal and Administrative amendment types only appear for contract workspaces that meet any of the following criteria:

  • The status is Expired.
  • The expiration date is today and the status is either Published or Closed.
  • The expiration date is in the past and the status is either Published or Closed.
