Objectives

After completing this lesson, you will be able to:
  • Define how to create, structure, and format a Main Agreement in Microsoft Word.
  • Learn how to load a Main Agreement to the contract workspace template and set style mapping.
  • Define how to set Document Properties to dynamically pull values from the contract workspace into the Main Agreement.
  • Explain how to apply conditions to clauses and test the template.

Preparing for Authoring

A Main Agreement or Contract Addendum must be a document saved in .docx format.

  • A template or project workspace can have only one Main Agreement document and can have multiple Contract Addendum documents.

Determine file boundaries. Keep in mind the following points:

  • The maximum size file that you can upload is 20MB.
  • The time needed to load a Microsoft Word contract document is proportional to the size of the document, so longer documents can take longer to load.

Styles

Styles is a Microsoft Word functionality that is used to define different formatting options for document text including:

  • Numbering
  • Font
  • Spacing
  • Indentation

If the style settings are changed, but the name is the same, the new look will be used when the style is applied.

If the styles are updated and saved in an assembled document in a Contract Workspace template, all future contract documents will get the new look.

Ideal to have one global style for all documents.

You can define any text style element supported by Microsoft Word for each indentation level in the contract document. This is a useful feature for fonts and spacing. It is especially useful for clause and section numbering.

Applying styles is specific to each contract document, such as the Main Agreement or Contract Addendum. This enables different contract authors to use the same clause text in their documents, but employ different formatting. For example, the look of one main agreement could be different than another main agreement due to different fonts, indentations, and number. However, both main agreements could contain the same clause content.

Styles and Assembled Documents

With Enhanced Contract Authoring, the system reads Styles in the document to create sections and clauses in the Outline View of an Assembled Document.

Styles – Microsoft Word Navigation Pane and Outline Level

  1. When preparing the document in Microsoft Word, utilize the Navigation Pane to determine the structure of the document.
  2. Access the View tabclick the box for Navigation Pane.
  3. The structure on the Navigation Pane will translate to what appears in the system.
  4. Click the appropriate section to go directly to the section or clause in the document.

Styles – Outline Levels

A paragraph that contains a heading style is a section or sub-section heading depending on its outline level depth.

  • Following the logic you just learned, the default styles will be interpreted by the system based on their Outline Levels.
  • For example, the Heading 1 heading style in a document created using Microsoft Word becomes a section title.
  • Similarly, the Heading 2 heading style in a document created using Microsoft Word becomes a sub-section title.

Basic Styles

Microsoft Word has a set of default styles, each with their own Outline Levels.

  1. Choose to modify the default styles (for format, spacing, etc.).

    Note

    Cannot change outline level of the default styles.
  2. Or choose to create your own styles.

Ignore Style – Exclude from Outline View

If you want the application to exclude certain sections of the document, so that the content will not appear in Outline View, then you must create a new style and append. Ignore to the start of the style name and apply it to the section of the document.

Ignore style can be used for contents such as signature blocks, exhibits, appendices, etc.
