Creating Guided Sourcing Full Projects

Objectives

Start a Guided Sourcing Full Project

There are two ways to create a full sourcing project in SAP Ariba Sourcing:

  1. From the Create icon on the top-right, select Guided sourcing project.
  2. From the dashboard, select Guided sourcing project on the Common Actions panel.

Drafting a Guided Sourcing Full Project

  1. Create a Project and enter a Name.
    • All Projects require a unique name.
    • Cannot contain any of the following characters: \/:*?"<>|#+%&
  2. Designate if the project is a test project or not.
    • A test project prepares and educates your team and participants before running an event.
    • The test project field cannot be changed once the project is created.
  3. Select Full project next to Project type and set the Project state.

    • A Single event project contains one sourcing event, while a Full project can include multiple events, subprojects, and other documents.
    • The Project state is a value and appears in reports and the Process panel, and is meant to provide project participants and other users with an indication of a project's progress
  4. Populate Project details to collect reporting data and potentially help with template selection.

  5. Select the appropriate project Template.

    • A template provides the initial specifications for your project. A template with pre-defined content helps standardize company processes and increase project consistency.
    • Depending on the template, users may be prompted with additional questions that may define what tasks, documents, and team members will be a part of the project.

Full Project Panels and the Single-Page Layout

Single-Page Design and Panels

Full projects within SAP Ariba Guided Sourcing offer a single project page where users can scroll and expand panels to view more project data:

  1. The project header area helps navigate the project's panels quickly with the links in the header fields, where the team and title can be edited.
  2. The project header More actions menu in the top-right corner of the project is used for high-level project functions such as changing the project state, viewing the history, creating follow-on projects, and deletion.
  3. The Project summary panel allows you to edit key details directly from the project page, including the project's header fields.
  4. Process panel allows you to track project phase progress visually with the Process panel's diagram.

  5. Use the Project insights panel's insight tiles to easily access project documents and a clear visual summary of different project components.

  6. Project Owners can create, rearrange, and complete tasks directly from the Tasks panel.

Create Events within Guided Sourcing Full Projects

Typically, the template selected when creating a project will automatically add the appropriate events to the project's workflow within theEvents and other documents table. You then create, edit, publish, and award these events as the project progresses.

Events within Full Projects

When creating a full project, the Event Type field isn’t visible and is often replaced with template questions.

Template questions are used as a standard practice within full project templates to make sections, tasks, and event documents visible. If a template uses questions, they appear directly below the template name upon selection.

There's a placeholder for the project owner to create an event in the form of a document choice. Project owners go to the Events and other documents section, and find the document with Choice in the Type column.

If a document choice isn't visible, specific events can be created within full projects from the Events and other documents section, under Create.

To see the list of electronic project documents available, where sourcing event can be found, select Document:

Procedure

  1. In the project page's header, select Events and other documents.
  2. Within the Events and other documents panel, complete one of the following actions:
    1. To add a new event to the project, select Create, Document, then choose Sourcing event.
    2. Select the event's name in the ​ ​Events and other documents​ ​ table to create an event inherited from the project template.
  3. Provide the event with a name, type, and required header fields.
