Starting a Single Event within SAP Ariba Guided Sourcing

Getting Started

Step 1: Create a Guided Sourcing Project

From the Create menu, select Guided Sourcing Project.

Step 1 - Create a Sourcing Event. Open Create and select Guided Sourcing project.

Step 2: Select Values for Required Fields and Determine Event Type

Once the project is opened, enter a name, description, and test project for the event. Make sure that all required header fields have values, or the sourcing project won’t be created if these fields are empty.

Event Type is a required field when Single event is selected.

Step 2 - Fill in all required fields. For the project type, select single event.

Step 3: Select the Appropriate Template

Step 3 - Complete the Project details area. Select a template and choose Create.

The available templates at the bottom of the project creation screen depend on the value of the Event Type. To create the event, choose one of the available templates.

Template descriptions appear below the template name and help users to understand how the template affects the event settings.

The template choice can't be changed after the project is created. If the incorrect template was chosen, a replacement project must be created, and the project owner can delete the incorrect project if needed.

Summary

  1. On the Create Guided Sourcing Project page, specify values for all required fields marked with an asterisk.
  2. Click the information icon to see a description of the field.
  3. Fields with dropdown menus allow you to search for acceptable values.
  4. The Add More link allows you to select multiple values for the field.
  5. Based on the event type chosen, a list of templates is displayed. Select the one that fits the scenario.

Identifying Event Components: Team Members

Project Owners

Every event has a Project Owner group. Members of this group are also referred to as event owners. The Project Owner group has many capabilities. Members can view and edit all content in an event, change the event duration, and create awards. When you create an event, SAP Ariba adds you to the Project Owner group for that event.

Team Members

Project owners can assign team members to assist in managing your sourcing event. Team members are granted permissions through their roles to perform certain system tasks based on the groups in which they’re members.

Used to designate who will have some level of access to the sourcing event:

  • Ownership (full read/write capabilities)

  • Visibility

  • Editing capabilities

Note that as the project owner, you can add more team groups if needed, but you can't delete any project groups or users inherited from the template.

Managing Team Members

By selecting the Team icon next to the event name in the upper-left corner of the event page, project owners can make the following changes, depending on group settings in the template.

  • Add team members to groups.
  • Create new project groups.
  • Message group members.
  • Edit existing groups.
To manage team members, choose the Teams icon.

A pencil icon won’t be present for groups that can’t be edited. The groups that have a pencil icon present can have their members and roles adjusted.

Creating a New Group

Usually, project owners add users to an existing project group. If needed, the project owners can create a new group by giving it a name, choosing members, and selecting roles for the group that determines the capabilities of the members of the group.

To add members to inherited project groups, choose the Teams icon. To create a group, choose Create group. To add users to the group, open the Members input help.

Some of the roles typically used in project groups for sourcing events are:

  • Active Team Member: A member of a project group with only this role can view event contents but can't edit event contents or event attributes.
  • Surrogate Bidder: A member of a project group with this role can submit surrogate bids (bids on behalf of participants) for this event.

Identifying Event Components: Suppliers

Suppliers

Adding Supplier Participants

Participants are the contacts for your suppliers who are invited to respond to the event. Project Owners search for and select the suppliers that are to be invited to the event using the Suppliers panel.

You can add suppliers to the event within this panel by using the Invite Suppliers button to invite approved and registered SAP Ariba Sourcing suppliers, add new supplier contacts, or request new suppliers.

Open the create dropdown and select New contact or New supplier.

New Contact is available for new supplier personnel.

New Supplier initiates a Supplier Request form for a new organization.

Identifying Event Components: Content

Content

Content consists of:

  • Sections
  • Requirements
  • Attachments
  • Questions
  • Lots
  • Line Items

Items That Need Quotes

When creating guided sourcing events, the panels separate the pricing components from the questions, attachments, and information text.

In the Items that need quotes panel, project owners can create Sections and collect pricing through Items and Lots.

Questions, Requirements, and Attachments

Following the pricing components, the final panel is the Questions, requirements, and attachments section, where the project owner can create questions with various answer types and attributes in addition to read-only text and attachments.
