Creating your own User Learning Needs Analysis Template

Objective

After completing this lesson, you will be able to adapt the LNA template to meet project specific requirements

Create your own LNA Template Basic Template with Optional Add Ons

Adapting the LNA template

The LNA spreadsheet is a best practice template that can be adapted to meet your project requirements. Here are some ideas on how you can adapt the LNA template to your needs.

Start by upgrading the template for easier use:

  • Color each section or use conditional formatting for clear grouping of information
  • Mark mandatory / optional fields and add examples for easier understanding
  • Add drop-down-menus or formulas to make filling in the template easier

Depending on your organization and project, there are factors that could influence the enablement approach. You should try to gather as much information as possible, to properly assess the learning needs for the end users. Columns can be removed, if they are not applicable and columns can be added to the spreadsheet.

Below are some scenarios that may require the enablement lead to adapt the LNA template:

Scenario 1

Scenario 1: Learning Design

You are working with a team of specialized learning designers, who are experts in creating content with authoring tools, but they will need input from your project team subject matter experts (SMEs)to build the enablement content. You can add columns in the LNA to collect additional project and process information provided by the SMEs. The designers will then include this information in the enablement content.

Adaptations to make to the template:

  • Inputs and outputs for the process or relevant process steps that happen outside of the system
  • System interfaces and process interdependencies
  • Transaction codes or Fiori App used; Authorization roles needed
  • Links to existing documentation in the project or organization.

Scenario 2: Change Impact

Scenario 2

You are working closely with the Organizational Change Management team and want to document synergies, where possible. Since enablement is typically one of the key measures taken to address changes, you decide to incorporate the Change Impact Analysis into the LNA template.

Identifying the Change Impacts will help categorize the learning need and select appropriate delivery methods.

Adaptations to make to the template:

  • Change dimensions and overall change impact
  • Detailed description of the change
  • Planned change measures

Scenario 3: Translation / Localisation

Scenario 3

Your organization has multiple locations in different countries that are part of the current or future rollout waves. Each site might have additional requirements, or you want or need to provide enablement in the local language.

Thus, you need to include columns to identify the need for translating content into another language or adapt to local requirements.

Adaptations to make to the template:

  • Translation requirement – languages to translate content into
  • Localization requirements – adaptations to enablement content (for example different financial rules in different countries)
  • Who is responsible for implementing the translation/localization request

Scenario 4: Status Reporting

Scenario 4

Your project follows an agile methodology and works in a sprint model. This also impacts your learning needs analysis and the creation of enablement content. To report your progress to the project manager, you decided to include status indication columns in the LNA template.

Adaptations to make to the template:

  • Content creation or review status for the developer to maintain
  • Has the content been uploaded to your learning management system (include links)?
  • Is all content created before the delivery of training commences?
Now, it's your turn
