Analyzing the Reorganization Process

Objectives

After completing this lesson, you will be able to:
  • Recall the apps relevant for organizational change
  • Discuss the Manage Organizational Change app

Key Apps in the Organizational Change Process

It is useful at this point to get an overview of the apps that play vital roles in the reorganization processes:

  • The Manage Profit Centers app doesn't directly relate to reorganizations but acts as a foundational tool allowing the establishment of new profit centers, necessary when making organizational changes.
  • When dealing with reorganizations, the Where Used List Profit Centers app is very useful. It assists in identifying affected objects tied to specific profit centers. For instance, it provides a breakdown of allocation cycles, cost centers, and other object types where a particular profit center is employed. This information helps in assigning new profit centers to these individual objects during a reorganization.
  • The Manage Organizational Changes app is central. It's where the specifics of a reorganization are defined. It determines when the reorganization will take place, for which company codes, and which objects will be affected. This tool essentially sets the stage for the entire reorganization process. We will go in more depth about this app in a bit.
  • To handle data in bulk, there's the Mass Data Handling app. This app assists in managing large quantities of data during reorganization by allowing users to upload or manually update lists of affected objects. It's particularly helpful when assigning new profit centers to individual objects at scale.
  • Financial implications are analyzed using the Financial Data app. It offers a detailed overview of financial data impacted by the reorganization. For instance, it shows how transfers from old to new profit centers have been made, allowing you to verify and scrutinize these changes. You can also customize the report by adding or adjusting data columns for more in-depth analysis.
  • For a more detailed hierarchical view of affected objects, there's the Master Data Hierarchy app. This visualizes relationships between different objects and their status regarding new profit center assignments. It helps in understanding dependencies and how changes propagate through the organizational structure.
  • The Master Data Lists app offers a flat-list approach, displaying affected object types and their details. This app helps in understanding the breadth and depth of objects influenced by the reorganization and allows for detailed analysis.
  • Finally, the Schedule Jobs app offers an alternative approach to triggering reorganization-related activities. It allows you to schedule activities, such as simulations or processing, during off-peak times to manage system load and streamline the reorganization process.

Overall, these apps serve different but interconnected functions in handling the complex process of reorganization within a business, offering tools for planning, executing, and analyzing the impact of organizational changes.

The Manage Organizational Changes App

The Manage Organizational Changes app is the central tool within the context of the profit center reorganization. Its primary function is to facilitate the planning and execution of reorganizations within a business context.

The image illustrates the three key aspects of the reorganization. When - Effective Date of an organizational change. Where - Organizational Boundaries. What - Objects with new profit center assignment.

Purpose and Scope Definition:

This app aids in determining the specifics of a reorganization. It addresses critical questions such as the timing of the reorganization (when?), the relevant date for its effectiveness, the companies or company codes involved (where?), and precisely what elements should undergo reorganization (what?).

Identification and Restrictions:

Users can define the scope by specifying the technical ID and name of the organizational change. Additionally, they can identify the effective date for the reorganization. This date is crucial for calculating material inventory reposts from the old to the new profit centers and identifying open items to be reposted accordingly.

Scoping and Limitation:

The app allows for defining company code scopes. Users can either enter a single company code, or a range of company codes, or set exclusions based on specific conditions. This selection ensures that the reorganization impacts only the objects related to the chosen company codes. Similar restrictions can also be applied to profit centers to maintain granularity and avoid unnecessary data addition.

Testing and Parallel Operations:

To streamline testing, users can restrict reorganization scopes, preventing multiple individuals from inadvertently interfering with one another's tests. This segregation ensures that each tester uses their own profit centers, maintaining a clear boundary between testing instances. For testing, SAP recommends to restrict organizational changes per company code and profit center. This allows running parallel reorganizations on the granularity of the profit center by company code.

In productive scenarios, parallel reorganizations by company codes can help you better organize the transformation and also improve performance.

Lifecycle Management:

The app's interface changes dynamically based on the status of the organizational change. While in an inactive state, users have full control to edit, add, or delete objects within the organizational change. They can simulate the changes, move towards activation, or initiate processing based on the maintained data. Once activated, editing or deletion is restricted.

Historical Tracking and Auditing:

A comprehensive history section details the actions performed within the app. This tracking includes details about who initiated changes, edits, or simulations, facilitating internal audit trails. The app's status information, including run status and warning logs, allows users to navigate to relevant application logs for detailed information.

Integration and Navigation:

The app is integrated with related apps within the system, allowing users to seamlessly navigate between different organizational change apps and associated functionality without the need to re-enter organizational change IDs. It also offers functionalities like financial data analysis and the Master Data Hierarchy and Master Data Lists apps for a more comprehensive view of affected elements.

Data Analysis and Adjustment:

The app enables users to analyze financial data, simulate transfers, and view transfer postings.

In summary, the Manage Organizational Changes App provides a comprehensive platform for planning, executing, and tracking reorganization efforts within a business, ensuring precision, control, and efficient management of the entire process.
