A supplier can only have one process of each type for a specific combination of commodities, regions, and departments. When you cancel a new process that’s in progress, you remove it from the supplier, allowing a process initiator to create a new process of that type with the same combination. For example, if an administrator in your organization updates the process project template, you can cancel an in-progress process to create a new one using the updated template. Additionally, if a process project has stalled or was abandoned while in progress, you can cancel it to start fresh with a new one.
Canceling a process renewal that’s in progress reverts the process to the state and status it had before the renewal started.
Processes can be based on a process project or created through a data import. When you cancel a new process based on a project, it also cancels any modular questionnaires included in the process that meet the cancellation criteria. If the process has a renewal in progress and you cancel the renewal, it also cancels any modular questionnaires added during the current renewal that meet the cancellation criteria.
Note
If a process is based on a data import, no modular questionnaires are associated with it.Cancellation Criteria for Modular Questionnaires Included in Process Projects
A modular questionnaire does not meet the cancellation criteria if it’s:
- Approved and reusable, regardless of whether it's currently reused in other processes
- Not yet approved, but is included in more than one process project for the supplier
- Only included in the current process or process renewal for the supplier, but has an update that’s pending approval
A modular questionnaire meets the cancellation criteria if it’s:
- In the new questionnaire phase, hasn't yet been approved, and is only included in the current process or process renewal for the supplier
- Approved but isn't reusable
Caution
Canceling a process or process renewal that includes an approved, single-use questionnaire results in the cancellation and loss of approved data in that questionnaire. Make sure you identify any questionnaires that meet these criteria and decide whether the data loss is acceptable before proceeding with the cancellation.
