Introducing the Templates Project

Objective

After completing this lesson, you will be able to describe the different types of project templates that are used and define how they are implemented.

Defining the Project Template

Project templates are tools that are used to create projects (Contract, Sourcing projects, Supplier Lifecycle documents).

  • Templates standardize the creation of the projects by controlling what steps are included and expected from all users within an organization.
  • Templates usually model an organization’s best practice process and may have unique processes.
  • Typically, only advanced users with specific process and/or commodity knowledge have the access required to edit and maintain project templates.
  • The project templates may contain one or several standardized documents that will be copied into the new generated project after selecting the template.

Describing the Templates Project

When a contract author begins the process of creating a contract workspace, one of the first steps is to select which template the contract workspace will be based upon. Templates are the reusable, best-practice guidelines that organizations create to model their contract creation processes. A single template can be used repeatedly to create multiple contract workspaces.

Templates can be designed to be very general, which can be used to create a wide variety of contracts (e.g. Services Contracts), or they can be more specific (e.g. Business Consulting Services in North America). Before users gain access to the system, organizations should create all the SAP Ariba Contracts templates necessary to model the types of contracts they use. SAP Ariba Contracts templates contain all the sections that appear in a contract workspace, such as the team, tasks, and documents.

Identifying the Types of Project Templates

  • Every project created within SAP Ariba is based on a template. Folders for Contract Workspace templates will be added to a customer site when it’s enabled.
  • SAP Ariba Contract Workspace Templates:
    • Contract Request (Procurement)
    • Contract Request (Sales)
    • Contract Workspace (Procurement)
    • Contract Workspace (Sales)
    • Contract Workspace (Internal)

The templates project is a repository that contains all the out of the box templates in SAP Ariba. The templates that appear here are based on the SAP Ariba modules that the organization subscribed to. As your template creators create more templates, they will be stored in the templates project.
