Reassigning Completed External Questionnaires

About Reassigning External Questionnaires for Updates

In new external registrations, once the invited supplier contact opens at least one external questionnaire, no other contact for the supplier can access the external questionnaires until the registration is complete. In new internal registrations, once an invited recipient opens at least one external questionnaire, only the assigned recipients and the registration project owner can access the external questionnaires until the registration is complete.

After the registration is complete, you can reassign the external questionnaires to different recipients for updates. Reassigning external questionnaires for updates allows you to ensure the most appropriate recipient has a current invitation to update the questionnaires. Only the currently assigned recipient or, in internal registrations, the project owner can update the questionnaires.

You can't reassign individual external questionnaires to different supplier contacts in external registrations. Reassignments apply to all external questionnaires in the registration project. In internal registrations, you can reassign individual external questionnaires to various recipients.

When reassigning a recipient, you can't change which external questionnaires are included in the registration. The reassignment always contains the external questionnaires selected during the original registration invitation.

Reassign External Questionnaires in a Completed Registration to a Different Recipient

Use these steps to reassign an external registration questionnaire to a different recipient if the current recipient isn't the most appropriate to update it. Only the supplier contact assigned to external registration questionnaires can open and update them in external registrations.

Prerequisites

  • To reassign a different recipient to external questionnaires in a completed registration:
    • You must be a member of the Supplier Registration Manager or SM Ops Administrator group.
    • The registration must be in Registered status.
    • No external registration questionnaire updates must be pending approval.
  • To add or edit a supplier contact on the send questionnaires page, you must be a member of the Supplier Registration Manager or SM Ops Administrator group.

Steps

  1. On the Supplier Management dashboard, locate the supplier for whom you want to reassign questionnaires.

  2. Choose the supplier's name to open their profile.

  3. Perform one of the following actions to open the Registration detail area of the supplier’s profile:

    • In the classic supplier 360° profile, choose Registration in the left-hand navigation bar.
    • In the supplier's profile summary, choose the registration status link in the Supplier Status panel.
  4. In the Questionnaires table, for any external registration questionnaire, choose MoreRe-invite.

  5. Select the recipients to whom you want to reassign the questionnaires. You can add or edit the contact if you have the appropriate permissions.

  6. Choose Send.

Result

The new recipients receive an e-mail notification for each external questionnaire in the registration, letting them know of the reassignment.

The Supplier recipient field in the Registration area of the supplier's profile and the Recipient field in the individual external registration questionnaire details pages now show the newly reassigned recipient.

If the newly assigned recipient hasn't submitted an update to any external questionnaires after the assignment, you can reassign them to a different recipient. However, if the newly reassigned recipient has submitted an update for at least one of the external questionnaires that are included in the registration project, it remains in Registered status but now has a registration update status of Pending Approval. You can only reassign the questionnaires to a different recipient once the current update is finally approved and the registration update status is Approved.
