All SAP Ariba projects, including process projects, have an underlying project state. Unlike other supplier management projects where SAP Ariba automatically applies display labels to project states, process projects do not automatically associate with predefined statuses. Instead, administrators must map custom process statuses to underlying project states for each process type.
Note
If administrators don't define custom process statuses, the system uses project states as statuses instead.Custom process statuses can be tailored to the specific process type and your organization's business processes and terminology. For example, for a process type called Compliance, administrators can define statuses like Compliant for approved projects, Noncompliant for denied projects, and Partially Compliant for conditionally approved projects.
For process types mapped to the qualification lifecycle stage, project states correspond to standard SAP Ariba qualification statuses. This ensures functionality in areas like sourcing events, contract workspaces, and guided buying and enables ERP system synchronization based on qualification.
The following table describes the underlying project states for process projects, as well as their corresponding standard SAP Ariba qualification statuses:
Underlying Project State | Description | Mapped Standard SAP Ariba Qualification Status |

InCreation | The project hasn't yet been created or is in the process of being created. | Qualification Not Started |
Created | The project has been created. | Qualification Started |
InProgress | Process projects have this status from the time questionnaire invitations are sent until the approval flows of all questionnaires are completed. | In Qualification |
PendingDecision | All the approval tasks in the process's modular questionnaire projects have been completed or approved. | Pending Qualification Approval |
Approved | The process project is finally approved. | Qualified |
ConditionallyApproved | The process project is conditionally approved. | Not applicable |
