Recognizing the Supplier Qualification Status Flow in Process Projects

Objective

After completing this lesson, you will be able to recognize how qualification status changes as suppliers move through the qualification process in process projects.

About Supplier Qualification Statuses

Each supplier has an overall qualification status, and each individual qualification has its own status. Suppliers can have multiple qualification statuses for various combinations of commodity, region, and department. You can find these individual statuses and their associated project details in the Qualifications area of the supplier's profile.

You can view a supplier's overall qualification status in the Summary area if you use the classic supplier 360° profile, or in the Supplier Status panel if you use the supplier profile summary (NGSM-2959). The overall status is determined by individual qualification and disqualification statuses, prioritized as follows:

  • If a supplier has at least one approved qualification or requalification, they are considered Qualified.
  • If they lack any approved qualification but have a disqualification, their status reflects the disqualification.
  • If they have no approved qualifications or disqualifications, their status matches the highest in-progress qualification or requalification.
  • If none of the above applies, the supplier's status is Qualification Not Started.

Status Flow for Qualification Process Projects

The following diagram shows how the status of a qualification process project changes throughout its lifecycle:

A diagram of the qualification status flow.

The tables below show how various activities within a qualification process project influence the qualification status, including the impact of renewals and expirations.

Impact of Process Project Activities on Qualification Status

The following table lists various activities within an individual qualification process project and their corresponding status changes:

Qualification Process Project ActivityStandard SAP Ariba Qualification Status
There are no process qualifications associated with the supplier.Qualification Not Started
A process initiator has started a qualification process project.Qualification Not Started to Qualification Started
The system has sent invitations or update requests to questionnaire recipients for the modular questionnaires included in the qualification process project.Qualification Started to In Qualification
Recipients of modular questionnaires included in the qualification process project have completed and submitted their assigned questionnaires. In Qualification
Approvers and task owners have completed all the tasks in the modular questionnaires included in the qualification process project and have finally approved or denied all of them.In Qualification to Pending Qualification Approval
A process decision-maker has manually set the qualification process project's status to denied, or automatic rules have assigned the process project a denied status based on the statuses of its included modular questionnaires.Pending Qualification Approval to Rejected
A process decision-maker has manually set the qualification process project's status to approved, or automatic rules have assigned the process project an approved status based on the statuses of its included modular questionnaires.Pending Qualification Approval to Qualified

Impact of Expiration Schedules on Qualification Status

The following table outlines activities related to an individual qualification process project's expiration schedule and the resulting status changes:

Qualification Process Project ActivityStandard SAP Ariba Qualification Status
The qualification process project includes an expiration schedule and an expiration reminder schedule, and the expiration reminder schedule has started.Qualified to Expiring
The qualification process project includes an expiration schedule and an expiration reminder schedule, and the current date has reached the scheduled expiration date.Expiring to Expired
The qualification process project includes an expiration schedule but no expiration reminder schedule, and it has reached the scheduled expiration date.Qualified to Expired

Impact of Renewal Activities on Qualification Status and Supplier Eligibility

The following table details activities involved in renewing an individual qualification project, the associated status changes, and how these renewal stages impact supplier eligibility for sourcing events:

Qualification Process Project ActivityStandard SAP Ariba Qualification Status
A process initiator has started a renewal for a qualification process project that isn't expiring or expired.Qualified to Qualification Started

Note

The supplier remains eligible for sourcing events that require qualification, even though it no longer has Qualified status.
A process initiator has started a renewal for an expiring qualification process project.Expiring to Qualification Started
A process initiator has started a renewal for an expired qualification process project.Expired to Qualification Started
The system has sent invitations or update requests to questionnaire recipients for the modular questionnaires included in the qualification process renewal.Qualification Started to In Qualification

Note

If the requalification is for a qualification that hasn't expired, the supplier remains eligible for sourcing events that require qualification, even though it no longer has Qualified status.
Recipients of modular questionnaires included in the qualification process renewal have filled out and submitted their assigned questionnaires. In Qualification
Approvers and task owners have completed all tasks in the modular questionnaires included in the qualification process renewal and have finally approved or denied all of them.In Qualification to Pending Qualification Approval

Note

If the requalification is for a qualification that hasn't expired, the supplier remains eligible for sourcing events that require qualification, even though it no longer has Qualified status.
A process decision-maker has manually set the qualification process renewal's status to denied, or automatic rules have assigned the process a denied status based on the statuses of its included modular questionnaires.Pending Qualification Approval to Rejected

Note

This status change occurs even if the requalification concerns a qualification that hasn't expired. In this case, the system removes any related preferred status, and the supplier also becomes ineligible for sourcing events that require qualification.
A process decision-maker has manually set the qualification process renewal's status to approved, or automatic rules have assigned the process an approved status based on the statuses of its included modular questionnaires.Pending Qualification Approval to Qualified

Note

These statuses come from qualification process projects. For information about statuses based on legacy qualification projects, refer to Supplier Qualification and Disqualification Status Flow.
