Restarting Denied Registration Approval Tasks and Projects

About Denied Approval Tasks in Supplier Registrations

If an approver denies a questionnaire in a new registration, you can start a new round of the approval task to reapprove it.

The option to start a new approval round is only available in new registrations. In a new registration, once an approver denies an external or internal questionnaire that's not a profile questionnaire, the entire registration is denied. Starting a new round of a denied approval task allows the approvers to re-evaluate the currently submitted questionnaire answers and reapprove them so that the supplier can complete registration. For registration updates, respondents can always submit updates to denied questionnaires for reapproval.

Starting a new approval round is useful when little time has elapsed since the questionnaire denial or when you're confident that the currently submitted answers are the appropriate basis for new approval decisions. Starting a new approval round doesn't require further action by the questionnaire recipients and only restarts the approval tasks on the denied questionnaire. If considerable time has elapsed since the original denial, or you want the recipient to submit updates before approving the registration, you can restart the registration project instead.

Start a New Approval Round for a Denied Supplier Registration Questionnaire

Use these steps to start a new round of the approval task if an approver has denied a supplier registration questionnaire in error. Starting a new round of the approval task removes the denial and restarts the approval task so that approvers can reapprove the questionnaire.

Prerequisites

  • You must be a member of the Supplier Registration Manager or SM Ops Administrator group to start a new approval round for a denied supplier registration questionnaire.
  • You can only start new rounds for denied approval tasks on external and internal registration questionnaires that affect the supplier's registration status. If an internal questionnaire is a profile questionnaire, its approval or denial doesn't affect supplier registration status. Instead of starting a new approval round for a profile questionnaire, you can edit it to start a new approval for it.

Steps

  1. In the Registration detail area of the supplier's profile, locate the denied approval task and choose View.

  2. In the upper right corner of the approval task details page, choose New Round.

  3. Choose Confirm.

Result

The supplier moves from Denied registration status back to Pending Approval registration status. Approvers in the approval flow for the task receive e-mail notifications letting them know that they need to reapprove the questionnaire.

The approval task details page shows comments for all rounds of the approval task.

If an approver denies the questionnaire again, the registration moves back to Denied registration status. For external registrations, the supplier receives a second e-mail notification of the registration denial.

If approvers approve the questionnaire, any subsequent tasks in the registration workflow start.

About Denied Supplier Registration Projects

In a new registration, once an approver denies an external questionnaire or internal registration questionnaire that's not a profile questionnaire, the entire registration is denied. Reinviting a supplier (for external registrations) or internal recipients (for internal registrations) to a denied registration allows you to restart the registration workflow to complete the registration.

Restarting a denied registration project is useful when time has elapsed since the original denial or when you want to restart the registration process from the beginning. When you restart the registration, recipients must resubmit all external questionnaires, and task owners must again complete all tasks related to those external questionnaires in the registration workflow.

You can't change which external questionnaires are included when restarting a denied registration. The registration always contains the external questionnaires selected during the original registration invitation.

Note

Currently, once a supplier contact opens an external questionnaire, no other supplier contact can access it. Although it's technically possible to change the contact when reinviting a supplier to a denied registration, always make sure that you reinvite the contact who originally completed the denied registration so that they can update the questionnaires.

If you want to complete the registration by reapproving existing questionnaire answers rather than requiring recipients to resubmit all external questionnaires and task owners to complete all the necessary tasks again, you can start a new round of approvals for the denied questionnaire instead.

Restarting a denied registration doesn't affect approvals for internal questionnaires.

How to Restart a Denied Supplier Registration

Use these steps to reinvite questionnaire recipients to a denied supplier registration and restart the entire registration workflow so that they can update questionnaires and approvers can reapprove the registration based on those updates.

Prerequisites

To restart a denied registration, you must be a member of the Supplier Registration Manager or SM Ops Administrator group.

Business Scenario

Previously, Acme Business Solutions' supplier registration was denied because the supplier did not agree to NSM Global’s code of conduct. Recently, the supplier has communicated to supplier manager Amy Chen that they will now agree to the terms outlined in the supplier code of conduct. Amy must restart the denied supplier registration to restart the workflow and allow changes to the registration questionnaire.

Steps

  1. On the Supplier Management dashboard, locate the supplier whose registration you want to restart.

    Hint

    In supplier search, you can filter by the registration status Registration Denied to show suppliers with denied registrations.
  2. Choose the supplier's name to open their profile.

  3. Perform one of the following actions to open the Registration detail area of the supplier’s profile:

    • In the classic supplier 360° profile, choose Registration in the left-hand navigation bar.
    • In the supplier's profile summary, choose the registration status link in the Supplier Status panel.
  4. For any external registration questionnaire, choose MoreRe-invite.

  5. Choose a questionnaire recipient.

  6. Choose Send.

Result

The supplier moves from Denied registration status back to Invited registration status. Recipients receive a new invitation for each external questionnaire in the registration. They can use the links in the e-mails to update the questionnaires. However, to move the registration back to Pending Approval status, recipients must resubmit every external questionnaire in the registration, even if they keep their answers the same.

After recipients have resubmitted all external questionnaires, task owners recomplete any previously completed tasks, and approvers reapprove previously approved or denied questionnaires. If an approver denies a registration questionnaire in an external registration, the supplier receives a second e-mail notification of the denial. If approvers finally approve an external registration, the supplier receives an e-mail notification informing them they've registered successfully.

Questionnaires resubmitted during the restarted registration show as the latest version in the questionnaire version history. Task details pages show comments from all actions on the task during both the initial and restarted registrations.
