Transitioning from Legacy Qualification Projects to Qualification Process Projects

After completing this lesson, you will be able to summarize what happens when transitioning from legacy supplier qualification projects to qualification process projects.

About the Transition to Qualification Process Projects

If your organization previously used legacy qualification projects, you can switch to qualification process projects. To manage this transition, you must understand what happens when an administrator enables the process project feature (SM-16798) in your site.

New Project Creation

Enabling the process project feature immediately prevents new qualification projects from being created using the legacy supplier qualification project template.

A qualification manager can still start a disqualification (create a legacy disqualification project) based on a legacy qualification (project-based or imported).

Changes to the Supplier Profile

The Qualifications detail area in the supplier profile will include two tabs:

  • A Legacy qualifications tab that shows any legacy qualification projects
  • A Process qualifications tab that shows qualification processes

Transition for Existing Qualifications

Process qualification doesn't disrupt ongoing legacy qualification activity. However, entirely new qualifications must use a qualification process project.

If a legacy qualification is in progress:

  • Suppliers and internal users can complete the questionnaires and tasks in the project
  • A process initiator can't create a qualification process project for the same combination of commodities, regions, and departments

If a legacy qualification or requalification is completed, a process initiator can create a qualification process project for the same commodity, region, and department combination. Once a status decision is made for the process qualification, the legacy qualification is marked as obsolete and:

  • The legacy qualification remains in the supplier's profile for information purposes only
  • Search results and API output reflect the process qualification rather than the legacy qualification
  • External questionnaires from a legacy qualification project remain in the supplier's SAP Business Network account but can't be edited

A completed legacy qualification is also marked obsolete if an administrator imports a process status for the same combination of commodities, regions, and departments. Starting or importing a process qualification for a subset of the commodities, regions, and departments in a legacy qualification does not affect the legacy qualification.

Note

Once the process project feature is enabled, the legacy Supplier Qualification data import is disabled for most uses. However, administrators can still use it to update the statuses of imported legacy qualifications to Expired, allowing a process initiator to start a requalification.

Starting a requalification based on a legacy qualification or disqualification automatically opens the page for creating a new qualification process project.

Note

Data migration from legacy qualification projects to process qualification projects is not supported. When starting a requalification from a legacy qualification project, the new process qualification project starts from scratch.

Transition for Supplier Qualification Status

If a supplier has a legacy qualification for a specific combination of commodities, regions, and departments, that legacy qualification determines the supplier's qualification status until there's an approved, conditionally approved, or denied qualification process for the same combination. At that point, the qualification process becomes the status source.
