Purging Key Figure Data

The following list provides two methods for purging key figure data:

  1. Through Version Management
  2. Through the purge planning operator

Purge Key Figure Through Version Management

It is also possible to purge data by using the Microsoft Excel front-end version management tool. By using this option, it is also possible to select based on specific attributes such as products or plants, or select specific key figures to be purged.

The approach is as follows:

  1. Log on to the Microsoft Excel front end.

  2. On the SAP IBP tab and select Manage under Versions section.

  3. Choose the Delete radio button.

  4. Choose the Version from which to purge data.

  5. Add specific attributes, if desired to filter on, for example, a specific plant.

  6. Select the date span for purging key figure data.

  7. Select the specific key figures to be purged.

  8. Press Next.

Data deletion may also be done via Excel. As there is no 'undo' option, this operation should be done with caution. This can be done for a single or multiple key figures, for master data, with or without a filter for a specific version of data.

Here you can select (a) key(s) for which data should be deleted.

Purge Key Figure Data (PURGE) Operator

The Purge Key Figure Data (PURGE) operator allows you to delete all key figure data that is older than a specified time period. It can be run in batch mode only. The following table summarizes the offset parameter:

For example, you have a planning area for which the storage time profile level is monthly. If you set 12 as the period offset and the current period is May 2023, the operator deletes all key figure data older than May 2022.Mandatory

When you define a PURGE operator, you must make the following mode settings:

  • Planning Filter: Select the ID for the filter if you want to purge to only affect certain objects that are included in the filter.

  • Delete Planning Objects: Select this option if there are planning objects that don’t have any associated key figure data and you want them deleted.
  • If all key figure values are null: Select this option for key figure data to only be deleted if all key figure values are null in the selected versions.

Business Example

You are a system administrator for your company’s planning system and you want to keep it clean and well organized. One of the tasks you need to do is remove redundant key figure data. To do this, you set up an application job that deletes the key figure data in a specific planning area for specific filters.

Note

Following the instructions and executing the application jobs with a filter is important.

When the values include ##, replace the characters with the number that your instructor has assigned to you.

Task 1: Create a Planning Filter for Purging Key Figure Data

Steps

  1. Create a planning filter for the key figure data to be purged. Use the data from the following table.

    1. From the home page, choose the Planning Filters tile in the General Planner group.

    2. Choose Create.

    3. In the Information section, enter the values from the table provided.

    4. In the Filter Criteria section, enter the values from the table provided.

    5. Save the filter settings, by selecting Create.

Task 2: Create an Application Job to Delete the Key Figure Data from Planning Area T##

Steps

  1. Create a new application job to run the purge key figure data action for the planning area using the data in the tables provided.

    1. In the General Planner section, choose the Application Jobs tile.

    2. Choose New (+).

    3. Enter the data from the tables provided and choose Schedule.

    4. Access Application logs from the Job Details screen and verify that records had been purged from the baseline version of your T## planning area.

Task 3: Test Your Solution Using Planner Workspace

Steps

  1. Test your solution by creating a Planner Workspace using the following information.

    For time and planning level values, use the following data.

    1. Choose Planner Workspaces app in the General Planner group.

    2. Open the workspace 300_##.

    3. On the top right, choose Workspace → Design.

    4. Choose Customize Components on the top right of your existing planning view.

    5. Under the More dialog (three dots), choose Copy.

    6. Name your new planning view as Purge.

    7. Complete the dialog box with the information provided in the table.

    8. To display the planning view, choose Apply.

    9. When you confirm that key figures had been purged after one year in the future, choose Workspace → Save on the top right.

    10. Validate that the key figures values are deleted for the specified master data combinations in the expected timeframe. (you can remove the filter and compare to the other Product/Customer combinations).

Demonstration: How to Purge Master Data

Purge Master Data

In your role as project manager, you create a new planning job to permanently delete the master data of a specific planning object type from a specific planning area. For example, to delete the Product ID or Customer ID data that is no longer required in the planning area.

The master data to be deleted can be selected using a planning filter. The master data that matches the attributes values specified in the planning filters is deleted.

Following the instructions and executing the application jobs with a filter is important.

To set up the application job, the Application Jobs Tile permission must be assigned to your role.

Task 1: Create a Planning Filter That Contains the Master Data Element to Be Purged

Steps

  1. Create a planning filter that contains the master data element to be purged and preview the data. Use the data from the following table.

  1. Return to the Manage Master Data app, that is located in the General Planner group.

    1. Open Manage Master Data app, and search for master data types I##.

    2. Select the I##CUSTOMERPRODUCT and proceed to view all elements in this master data type by selecting > on the right.

    3. Validate that the deleted CustomerProduct combination is no longer available.
