Executing the main SAP Credit Management Operations

Objective

After completing this lesson, you will be able to execute SAP Credit Management operations

Advanced Credit Management Process

The image illustrates the steps involved in advanced credit management using SAP S/4HANA Cloud. The steps are interconnected within a boundary marked by a rectangle. The process starts in the cloud and includes Calculate Credit Rating, shown by a calculator icon, Credit Limit Request, indicated by a pencil icon, and Enter a Sales Order, marked by a clipboard icon. The workflow proceeds to Manage Blocked Orders, shown by a brick wall icon, and concludes with Reporting, symbolized by a report icon. The entire process operates under the SAP S/4HANA Cloud environment.

SAP Credit Management - Advanced assists your company in the early identification of risks associated with receivables from business partners and efficiently making credit decisions. Through automatic calculation using preconfigured formulas, the credit controller can efficiently and quickly make informed credit decisions. You can verify the exposure against the current credit limit for the business partner. Additionally, credit limit requests can be processed, and other checks such as the oldest open item, maximum dunning level, or last payment can be carried out.

The business benefits of Advanced Credit Management include reducing the risk of bad debt and focusing on reliable and profitable customers. Moreover, you can easily assess creditworthiness, which accelerates the process of checking a customer's credit limit. It also allows you to enter sales orders and manage blocked orders. Advanced Credit Management calculates ratings, risk classes, and credit limits for both new and existing customers.

Credit Limit Request

The image shows the SAP interface for managing credit limit requests. The top section displays a form for creating a new credit limit request, including fields for Business Partner and Credit Segment. The main view contains a list of credit limit requests with columns for Case ID, Business Partner, Credit Segment, Requested Credit Limit, Status, Planned Close Date, and Processor. The bottom section features detailed information for a selected credit limit request, labeled as 300000000013, including tabs for Document Overview, Assignees and Agreements, Snapshot Data and Changes, Approval Hierarchy, Credit Limit Request Log, Notes, and Attachments. Key fields include General Data, Case Details, Assignees, Agreements, Snapshot Data, and Change Information.

When creating a Credit Limit Request, you first use the Manage Credit Limit Requests App to create a new request and initially provide information about the Business Partner and Segment. If you create a credit limit request, the system transfers some master data that exists for the business partner in SAP Credit Management to the credit limit request. This includes the score, risk class, and credit limit. In your new credit limit request, set the business partner and the requested amount (to fulfill, for example, the created sales order). Set the status to New for your request. Other important information for the credit limit request is also the credit segment and the reason for the request. You enter the values in the form and save your entries.

The image displays the SAP interface for approving or rejecting credit limit requests. The request with ID 30000000013 is in the In Approval status. The interface features several tabs including Document Overview, Assignees and Agreements, Snapshot Data and Changes, Approval Hierarchy, Credit Limit Request Log, Notes, and Attachments. Key sections include General Data, Case Details, Assignees and Agreements, Service Level Agreement, Snapshot Data, and Change Information. The General Data section lists details like the credit segment and business partner. Options for editing, approving, rejecting, and voiding the request are available at the top-right corner.

The Credit controller also utilizes the Manage Credit Limit Request app. It can search for cases, with controls for approving or rejecting the request located at the top of the screen. When rejecting a request, a note can be added. When approving, a note can also be added, specifying which credit limit was approved (which may differ from the request) and the validity period of this limit.

Multi-level approval hierarchies with a four-eyes principle can also be established. This can be done using the Manage Credit Management Rules app.

Credit Profile - Credit Limit Requests: The image shows the SAP interface for managing credit accounts with a focus on the credit profile and credit limit requests for a company identified as S4C001. The interface includes multiple tabs like Scoring, Credit Segments, External Ratings, Documents with Credit Block, Credit Limit Requests, Financial Statement Data, and more. The scoring section displays a recalculated score of 85. Credit Segments show a segment with an exposure of 0.00 USD and a credit limit of 1,000.00 USD. External Ratings include three ratings with scores of 80, 83, and 82. The section for Documents with Credit Block lists a document with an open credit amount of 21,725.65 USD. The Credit Limit Requests section shows a request with ID 30000000013, requested credit limit of 1,000.00 USD, created on 20.01.2025, and a planned close date of 14.01.2025.

The created Credit Limit Requests for the Business Partner can also be accessed through the Manage Credit Accounts App via the Business Partner's credit profile, from which you can navigate to the details of the Credit Limit Request as well.

Create Sales Document

The image shows the SAP interface for creating sales documents. The form includes fields for specifying the Order Type, which is set to OR. The Organizational Data section contains fields for entering various organizational details, such as Sales Organization (set to 1710), Distribution Channel (set to 10), and Division (set to 00). There are also fields for Sales Office and Sales Group, which are currently empty.

To create a Sales Order, we open the Create Sales Documents App and, in the first step, enter the Order Type, Sales Organization, Distribution Channel, and Division.

The SAP interface for creating a standard sales order. The form includes fields for Sold-To and Ship-To Party (both S4C001), Cust. Reference (1710), and Cust. Ref. Date (14.01.2025). Net Value is 17,550.00 EUR. Tabs available are Sales, Item Overview, Item Data, and more. Sales tab shows Request Delivery Date (14.01.2025), Total Weight (18,000 KG), and Volume (1,800 M3). Material TG11 with Order Quantity (1.00 PC) and Item Description Test Good 11 PD, Reg Trading. Options to Save or Cancel the document are located at the bottom right.

In the next step, to complete the Sales Order, additional details such as Sold-to Party, Ship-to Party, Customer Reference, Customer Reference Date, Requested Delivery Date, Payment Terms, and information about the ordered goods like Material Number and Quantity are provided. Once all the details are complete, the Sales Order is created and an automatic credit check will be performed.

The image shows an SAP interface message indicating a credit check failure. It lists messages detailing that the credit segment 0000 of partner S4C001 exceeded the credit limit of 1,000.00 USD by 20,725.85 USD, and the credit segment 1000 of partner S4C001 exceeded the credit limit of 0.00 USD by 21,725.85 USD.

The figure shows that the sales order failed the credit check. Due to a credit check, sales orders that exceed the credit limit settings are blocked. In this example, the credit check fails because the value of the Sales Order exceeds the credit limit in the credit segments of the business partner.

A credit case is automatically assigned to the credit analyst or the responsible person.

The image shows an SAP interface for managing documented credit decisions. The top section lists a credit decision with Case ID 30000000001, for Business Partner S4C001, Credit Segment 1000, and Document Status Blocked with a Checked Credit Value of 21,725.85 USD and Planned Close Date 14.01.2025. The lower section provides details for Case ID 30000000001, including Title DCD, Business Partner S4C001, Credit Segment 1000, and Status Blocked. Tabs are available for Document Overview, Assignees and Agreements, Credit Management and Changes, and more. Options to Edit, Release, Recheck, and Reject are provided.

You use the Manage Documented Credit Decisions app to review blocked sales orders and assign a credit analyst or a person responsible for a credit case. The cases displayed are the ones assigned to your user.

You can also search for specific cases by filtering on the credit analyst or the person responsible. You can select the case ID assigned to you as a credit analyst and manually release the case for further processing. The case is then opened in a new window titled "Document with Credit Block," where a detailed overview of the document can be viewed and analyzed.

To reject a credit case, choose the Reject button. While rejecting the case, you enter the Rejection Reason and a rejection note. It is also possible to perform a recheck of the case. If the case should be released, this can be done using the Release button.
