Prerequisite for step 3 Define Internal Contacts: Create Functions in Responsibility Management

Prerequisite for each new Internal Contact is to configure a Function. Functions are required for the workflow tasks to work in case a role is entered as recipient of a task. This is done in Sub Application Area Responsibility Management.
For each Internal Contact you need to create the related function. A function is a task that a team member can perform as a part of the business process.
When completed, you go back into the Sub Application Area Legal Content Management and to the configuration step Define Internal Contacts
If the Function Role is not maintained, then this Internal Content Type will not be considered in the assignment of WF steps.

Define Category Models

With this feature, you can create categories using custom data sources existing in S/4HANA (e.g. plants, material group, etc.). It is usually supported by an administrator role (e.g. internal/external consultant), who defines category models (via SSCUI) required to generate dynamic categories using the 'Generate Categories from Table' option in the app Categories.

A category tree can be created based on a table from the back end system.
Requirements:
- Category model must be a Text CDS view.
- Category model must not contain more than 2 key fields.
- One of the key fields must be the Language field.
- The other key field must be the ID of the defined Category model.
- Ensure that the total number of records in the CDS views is not more than 20 thousand records.

When you set the multiple stamps Posbl. Indicator, the same stamp can be selected multiple times. If you don't set this indicator the system will show an error message that it is not possible.

Define Profiles

Define the profile sets and profiles that can be assigned to contexts or legal transactions.
In this customizing activity, you first maintain sets of entity types, internal contact types, external contact types, and so on, that are usually required in a specific business scenario. In a second step, you group the profile sets in a profile that can be assigned to contexts and legal transactions in the Manage Contexts and Manage Legal Transactions apps.
The profiles predefine the values that can be selected for the different data types, such as entities, internal contacts, dates, and so on for a legal transaction. Thus, profiles and profile sets enable you to reduce the number of values that are presented for selection on the user interface to the ones that are relevant for the specific business scenario.

Profiles - Create New Profile Sets

The Enterprise Contract Management system has one pre-delivered Profile: Generic.
You can add (create) new Profiles for different Business Areas such as Procurement, Sales & Intercompany (maximum 185 Profiles).
When creating a new Context, you need to select the applicable Profile. Working with different Profiles, allows you to limit the drop-down list for each Element.
First you need to define the Sets and then you assign them to a new profile
