Configuring the Solution

Objectives

After completing this lesson, you will be able to:
  • Configure the Solution for On-Premise and Private Cloud
  • Configure the Solution for Public Cloud

Maintain Number Ranges for Legal Transactions, Contexts, Categories, Documents, e-Signature and Obligations

number ranges

In this configuration activity, you maintain the number ranges that are used for the creation of legal transactions.

Note that external number ranges are not supported.

Prerequisite for step 3 Define Internal Contacts: Create Functions in Responsibility Management

responsibility management

Prerequisite for each new Internal Contact is to configure a Function. Functions are required for the workflow tasks to work in case a role is entered as recipient of a task. This is done in Sub Application Area Responsibility Management.

For each Internal Contact you need to create the related function. A function is a task that a team member can perform as a part of the business process.

When completed, you go back into the Sub Application Area Legal Content Management and to the configuration step Define Internal Contacts

If the Function Role is not maintained, then this Internal Content Type will not be considered in the assignment of WF steps.

You can now manage Employee Contracts in Enterprise Contract Management. To do so, add 'Employee' to your business partners as described on the right.

Define External Contacts

define technical types for linked object types

Define Linked Object Type

define linked object type

A linked object is a business object that is connected via link to a legal transaction. The type defines the purpose of the linked object in the legal transaction.

Define Access Levels

define access levels

Define e-Signature Parameters

define e-signature parameters

In this Configuration activity, you can define the parameters to activate e-Signature in Manage Legal Transactions and Manage Legal Documents applications.

You want to use flexible e-Signature integration with a chosen digital signing service provider. In this case, you must activate the e-Signature integration by defining the e-Signature parameters.

Define Relationship Types, Relationships, and Use Cases

define relationship types

Define E-mail Templates

define e-mail templates

In this configuration activity, you can define your own e-mail templates for various scenarios like sending notifications when the status of a legal transaction is changed.

Define Renewal or Termination Clauses

Define Phase Types

Define Category Models

define category models

With this feature, you can create categories using custom data sources existing in S/4HANA (e.g. plants, material group, etc.). It is usually supported by an administrator role (e.g. internal/external consultant), who defines category models (via SSCUI) required to generate dynamic categories using the 'Generate Categories from Table' option in the app Categories.

define category models

A category tree can be created based on a table from the back end system.

Requirements:

  • Category model must be a Text CDS view.
  • Category model must not contain more than 2 key fields.
  • One of the key fields must be the Language field.
  • The other key field must be the ID of the defined Category model.
  • Ensure that the total number of records in the CDS views is not more than 20 thousand records.

Define Content Types

define content types

Define Document Stamps

define document stamps

In this Customizing activity, you define the stamps that you can assign to documents in the application.

When you set the multiple stamps Posbl. Indicator, the same stamp can be selected multiple times. If you don't set this indicator the system will show an error message that it is not possible.

Define Obligation Types

define obligation types

In this Customizing activity, you define obligation types that can be assigned to legal documents.

Define Profiles

define profiles

Define the profile sets and profiles that can be assigned to contexts or legal transactions.

In this customizing activity, you first maintain sets of entity types, internal contact types, external contact types, and so on, that are usually required in a specific business scenario. In a second step, you group the profile sets in a profile that can be assigned to contexts and legal transactions in the Manage Contexts and Manage Legal Transactions apps.

The profiles predefine the values that can be selected for the different data types, such as entities, internal contacts, dates, and so on for a legal transaction. Thus, profiles and profile sets enable you to reduce the number of values that are presented for selection on the user interface to the ones that are relevant for the specific business scenario.

Profiles - Assign Enterprise Contract Management Elements to Generic Sets

Tip for your implementation project: review your table for your configured Enterprise Contract Management elements.

Profiles - Create New Profile Sets

create new profile sets

The Enterprise Contract Management system has one pre-delivered Profile: Generic.

You can add (create) new Profiles for different Business Areas such as Procurement, Sales & Intercompany (maximum 185 Profiles).

When creating a new Context, you need to select the applicable Profile. Working with different Profiles, allows you to limit the drop-down list for each Element.

First you need to define the Sets and then you assign them to a new profile

Legal content is created by or exchanged between legal departments. Based on the categories that are assigned to the legal content business objects, the legal content can be classified
