Discovering Data Lifecycle Management Techniques

Objective

After completing this lesson, you will be able to monitor and manage marketing data

Introduction

This is an overview of the available apps in SAP Marketing Cloud that enable marketing administrators to efficiently monitor and manage marketing data and background processes.

Data Stewardship Applications

Applications Overview

Let's take a closer look at the capabilities of each of the apps.

Inspect Contact

  • Explore the best record of a contact or a corporate account
  • Gain insights into which data stored in the best record has been derived from which origin
  • Download an overview of a contact's data displayed
  • Directly access the contact profile or account profile
  • Identify contacts that have been selected for merge
This image is a screenshot of the Inspect Contact application.

Browse Contact Origin Data

  • Provide a comprehensive overview of the total number of contacts in the system
  • Verify the completeness and correctness of the latest contact data load, and identify any issues that require further analysis
  • Perform spot-checks of known contacts by navigating to further details and validating against expected data
This image is a screenshot of the Browse Contact Origin Data application.

Browse Interaction Data

  • Gain detailed information about all marketing interactions by grouping the data provided from various interaction sources
  • Drill down to associated information, such as interests and products
  • Use the scheduled cleanup function to delete outdated interaction data
This image is a screenshot of the Browse Interaction Data application.

Browse Contact Data

  • Display key figures on the number of license-relevant contacts in the system
  • Gain valuable insights into which contacts are relevant for deletion
  • Validate that the type and number of contact records in the system match expectations
  • Monitor the status and age of contact data to determine if data cleanup is necessary
  • Export the data displayed to a spreadsheet

Import Monitor

  • Monitor data imports from OData services or external systems
  • Check import notifications including metadata
  • Group notifications by status (e.g. Process, Error, Success)
  • Display detailed information per generated data record, e.g. to locate the source of an error
This image is a screenshot of the Import Monitor application.

Data Load Monitor

  • View import messages across the landscape and decide what action to take
  • Analyze imports and messages by multiple dimensions and quickly resolve issues
  • Identify system issues that may have been previously hidden
  • View various status messages (e.g. Success, Error, Warning) to identify issues with data mapping or system configuration

Working with Data Load Monitor

We recommend that you use the Data Load Monitor app to preform error analysis on a regular basis, eliminate frequent causes of error, and so optimize the quality of your data imports.

Watch the following video to learn how to use Data Load Monitor to trace import warnings and errors, and how to return an import after resolving the root cause:

Lifecycle of Interaction Contacts

Within the Marketing Application Jobs app, job templates support the data privacy aspects that are required to delete contact data in certain cases, e.g. based on retention periods.

Deleting interaction contacts in SAP Marketing Cloud is a two-step process. First you have to flag the contacts for deletion via the available application jobs listed on the slide. Once data is flagged for deletion, it is not visible anymore in the application. In the second step, you then delete the flagged contacts which are again executed via application job.

Tip!

If you have follow-on processes for which deletion information could be relevant, we strongly recommend that you schedule the dates of the deletion jobs far enough apart from the flag for deletion jobs. For example, do not schedule them to run on the same day. In this way, other processes, like integrations using API OData Services that run between the two dates, can react to the fact that contacts or IDs have been flagged for deletion. For more information, please refer to this documentation.

Deleting Interaction Contacts

This graphic describes the two-step process for deleting Interaction Contacts. First, flag contacts for deletion. Then, delete the flagged contacts.

Lifecycle of Interactions

Interactions: Delete Interactions

You can delete interactions that are no longer needed by using this template, Interactions: Delete Interactions.

The template selects interactions based on the parameters you set. From a technical perspective, the interactions selected by this job are flagged for deletion and automatically physically deleted from the system after a 30-day retention period. Such interactions are no longer available for other applications or processes. They are, however, listed as flagged for deletion in the Browse Interaction Data app until they are automatically deleted.

Note

The template Interactions: Delete Flagged Interactions is obsolete. Please use the application job instead.

For more information, please go to this documentation.

Interactions: Delete Interactions Based on Target Group

This application job lets you flexibly identify interactions based on a live target group to which they belong and delete them. You can use everything at your disposal in segmentation to create a live target group for selection of interactions to be deleted. For example, you could delete interactions based on your own custom fields or you could specify the date of the last inbound interaction as one criterion. Technically, the interactions selected by this job are flagged for deletion and automatically physically deleted after a 30-day retention period.

Prerequisite

You must create a live target group based on the segmentation profile All Interactions. You must enter the ID of this target group when you schedule a job.
