Activating Fiori Apps Via Rapid Activation - SAP S/4HANA - Cross-Topics Upgrade

Hello and welcome to this learning unit on activating SAP Fiori Apps via Rapid Activation. We're looking at this in the context of an S4/HANA upgrade. But it's a generally useful technique also for implementations and continuous improvement projects where you are deriving more value out of your current SAP S4/HANA system. My name is Jocelyn Dart. I'm a user experience strategist and I'm part of the SAP S4/HANA Regional Implementation Group. So in this learning unit, you're going to learn how to rapidly activate all Fiori apps and classic UIs of a SAP business role. or to reactivate a  changed SAP business role, say after an upgrade or of some kind. We're aiming this unit at user experience consultants. But it's also generally useful for technical and functional consultants who might stand in and do this activity. And even occasionally business stakeholders, if they're doing an continuous improvement project, they might want to have a go at doing this. Alright, so we're going to go through the prerequisites for rapid activation. How you find an SAP business role in the SAP Fiori Apps reference library. Because we'll need to confirm the technical name. We'll look at how you verify pre and post steps for a specific SAP business role. And we'll look at activating or reactivating an SAP business role using SAP Fopri rapid content activation. And lastly, the rapid activation  will create a test user. So we'll see how that works. And we'll use that to verify your SAP business role is ready to use. Okay. So the first thing is we need to have a look at the prerequisites. So for starters rapid content activation works when your SAP S4/HANA system is using embedded mode and that means your Fiori front-end server is deployed as a module on your SAP S4/HANA system. So it's all part of the same system. Now, if you are using stand alone mode where your Fiori front-end server is separate to your S4/HANA system, you need to use a different approach. And we have other task lists for that. But in this particular learning unit, we're going to focus on rapid activation. Typically we use rapid activation in a sandbox system. And it's usually something we do to explore the content that SAP is offering. And we do that as part of understanding it. Ready for fit/gap analysis and to decide what we want to use. At this stage, your Fiori foundation should already be configured. That's the once off tasks and there's a special task list for that. And that's a bit more evolved. So we won't croled with that in a micro learning. But once that's done, you can continue to activate as many roles as you want whenever you need to. There is a central note that explains how that is done. And that's SAP Note 2902673. And we're going to have a look at that note shortly. You're also going to need a few things to get started. You're going to need access to SAP Notes in the SAP Support Portal. So need an S User ID of some kind. You'll need access to SAP GUI transaction STC01 in your system. That's the main task list transaction that we're going to use to execute the task list. You need authorization to run the rapid content activation task list, which is called  SAP_FIORI_CONTENT_ACTIVATION. You need to know the technical name or names of the SAP business roles you want to activate. You can activate more than one role at once. You'll need to know the authorization role that gives your test users generic access to the Fiori Launchpad regardless of which apps they're using. Now, this is something that's typically set up when we run the Fiori foundation task list. So if you check with your basis team, or your administrator, they should be able to tell you what it is. And you also need the URL of your SAP Fiori Launchpad to test your newly activated SAP business role. So let's keep going. Okay, so the first thing we want to do is going to the The Fiori Apps Library. And just as a reminder, you can get there by going sap.com/fiori-apps-library When you do that, that takes a few seconds to come up, but that'll bring up the whole library. Now we're looking at roles in the contexts of S4/HANA. So there are two main filters, All apps and SAP Fiori apps. In this case, we'll use all apps. When you activate a business role, it activates all of the apps. So that includes the SAP Fiori apps and any classic UIs. So if I go into all apps for SAP S4/HANA, and then by roles, then what I want to do now is search for the role I'm looking for. Now you see the roles here are all named after jobs. And you can see the name of the role, the technical name of the role. This, for instance, SAP_ BR_something else. And you'll also see if you rest cursor on it, a description of the role. So you can read that role and check it sounds pretty much like what you wanna do. And if you want to, you can drill down and to the next level and see all of the apps associated with it. In my case, I'm going to activate some maintenance roles. Maybe that something I hadn't turned on before. Now I want to turn them on. So you can see here I can just search on part of the role name or part of the technical role name. Okay, so I've got a couple of roles here. One is maintenance technician. So I can see here that  SAP_BR_MAINTENANCE TECHNICIAN and it's got 48 Fiori apps and classic UIs in there. There's another one called maintenance planner, and a few other things, so I'll read the descriptions. Make sure I'm looking at the right role. And then if I want to just do a quick check and see what's within that role. And you can see here there are some Fiori apps. There are also some GUI transactions. And there may even be  some Web Dynpro ABAP applications or even some web client UIs. So all of this is going to get activated together when I activate the role. So let's just get back there again. All apps for S4/HANA by roles, search on part of the name, okay. And here's my role. And just to show, I can do more than one at once. I might do a couple of these roles. All right, so the next thing I want to do, having found which roles I want to activate, I want to go to the rapid activation note, the main overview note. So this is the note that we mentioned on the slide. And you can see here the direct link, launchpad.support.sap.com/#/notes and then the note number. Now this note gives you an overview of all the different notes for all the different releases and feature pack stacks. So I'm working on a 1909 feature pack stack 2 (FPS02) system today. So I need to go to the specific note for this, for this release and  feature pack stack for my release on FPS. And this is where I want to check through all the instructions. That's fine. And it will explain the prerequisites. And a lot of that has to do with running that Fiori foundation task list. But once I've run that foundation tasks list, the next part is actually fairly straightforward. However, there's one thing I particularly need to do, and that's to scroll down in this note and see if there are any special roles with prerequisites. So these can be pre steps or post steps. So for instance, you'll see here, some roles require, say, certain business functions to be activated because they're perhaps industry-specific. And then other roles might have some post steps where perhaps there was something that needs to be run additional to what was what was included in the support pack. Now, I can see my maintenance roles aren't listed in either of those lists, all good. There's nothing special that I need to do. If there was, I just need to follow the instructions in the advice here before I get going. Ok. Now the next thing I'm gonna do is start the Fiori content activation task lists so you can see the name of the task list there and then explains exactly what it's doing here. Okay, so now I'm going to go over to my system. And I'm here in transaction STC01, which is the the task list transaction. And you can see  I've already preset it to SAP_FIORI_CONTENT_ACTIVATION which is the content activation for SAP business roles. Now, if you're looking to activate custom business roles, we have a different task list for that. So this one is specifically for activating SAP business roles, particularly in a sandbox system. Now to start the task list, I'm just going to press execute, Generate Task List Run. Okay. And this is going to start the task list off. And what you'll see here is it comes in and there's some tasks preset and some that are optional. Some tasks also have some parameters that I need to fill in. So you can see here at the start, there's a couple of different ways I can provide the list of roles or can either cut and paste them in, or I can just select them from the list. Now, since these are SAP business roles, I'm quite happy to select them from the list. So what I need to do here is go to this little parameter symbol. I can read the little blurb on it. Why it's not working. And just save that. Yes. Okay. I can read the little description of what needs to be done in that task and what I need to provide. So you can see here I need to select the task by their technical names. Okay. And here I can see the symbol here. And if I just click on the parameter symbol, you can say all of the roles here. Now, once again, I know  there were something to do with maint. In this case I do need to use my wildcards. So I can see here some of the roles that I saw before in the SAP Fiori Apps Library. I'm going to select the maintenance technician. And just for the sake of argument, I'm going to select the maintenance planner to show you that I can turn on two roles at once or multiple roles at  once, in fact you can turn a lot on. We do suggest that you don't turn on all else, notice that I save that now, every role has certain things that you're exposing. Particularly in the case of Fiori apps, you're exposing it to web environment so you should only turn on what you actually need. Now the next step you'll see here is I can set transport options. Now, I may not need to transport it if I'm in a development system. But it is generally speaking, a good idea to use a real package and not a temp, just in case I want to do something afterall later on. So I'm just going to create the user package that I've created earlier. So this is just to save it, just in case I want to transport it. And again, I'll just save those parameters. And you can see once I've saved them, it'll come back and show them in a task. The next thing I'm going to do is you can see here that's preset for me. I don't need to change that one. That's preset for me. It's going to generate the roles with the prefix, that's ok. I do want to create the task list users, so I'm gonna turn this option on. And in here, what I need to do is it's going to create the user with a prefix. It's going to use part of the role name as the username. I need to provide an initial password so that I can log on. Okay. And I need to put in the role assignment that's going to give them general access to the Fiori launchpad. So in this case, I've already figured that out and talk to my basis team about that. So that's the Fiori foundation user. Okay. And once again, just save those parameters  before you come back and then check and you should see those details have been entered. Now, I've now got those selected roles. So what I'm gonna do now is run the task list. So I'll just bring the results up here. And here I go. I'm just going to use execute and run the task list. And you can see it's just processing it, figuring out what needs to be activated, working through the various tasks. Okay, now it's generating the new business roles. Okay, so we just wait for it to complete all of the tasks. Depending on how many business roles you select, once this will take, you know however long it takes. And you can see here that it's now confirmed that everything's been activated, everything has a nice green light and also it's created a user for each of the roles. So if we have a look here, we've got a user for our maintenance planner and we've got to use for our maintenance technician. And if you want a summary of the users, you can just click on this little icon here. And it will show you, there you are,  which one has been assigned to which role. And they've all been given the role that gives them access to the launchpad. Okay, terrific. So that's, that's really all there is to it. So now what I'm gonna do is test that. So let me take my T309_MATE user ID and actually test that user. So okay, so I've got my Fiori Launchpad up here. What I'm gonna do is enter that user ID. That's the one we were given. And enter that initial password that we entered in the task list. So rapid activation task list. I'm just going to say log on. And of course I've confirmed the client and the available languages beforehand. So it's now logging on as that user, and just setting up their home page for the first time. And you see, here we go. We have a brand new test user. We have all of the different  apps and transactions GUI transactions that this user needs. And we can start to use that user straightaway. So we can do things. For instance, you can confirm here that it's maintenance technician that's quite handy. So you can see here, the last name is named after the role, so it's great for a test user, because you can confirm at any time which role you're using. You can also start to go into different apps and start testing them out. Okay.  It's only a little sandbox system. So it's not particularly fast, but it's going to come in in a second. There you go. So I can start using the apps. I can even do things such as change my settings. And in this case I might change it from Belize theme to Quartz Light just to see what that looks like with the lightest Fiori 3, just a little bit nicer. Ok. And you can also see things such as my App Finder, which is another way of seeing all of the apps that are assigned to me and all the different catalogs that I hold all of the  different transactions. And that's really all there is to it. Okay, so what you saw here is you can use SAP business roles to rapidly activate related SAP Fiori app, some classic user interfaces such as GUI, Web Dynpro ABAP, client UI. Altogether, just by using the business role name. You can find the information you need in a Fiori apps reference library and in the notes for rapid activation. What you have to do is run the rapid activation task list in your SAP S4/HANA solution, and you can optionally specify a test user to help you test the role. And if you've created a test user, you can use the test user to access your newly activated business role in the Fiori Launchpad and just check it out. Now if you want to know more, we have a number of SAP courses on S4/HANA. So here's some of the more recent courses. And of course, you can find other courses on openSAP and you can find other learning information in SAP's Learning Journey. Thank you for listening and all the best with your activation.
