Adapting the UI of List Report Apps with  SAP Fiori for SAP S/4HANA

Hello, my name is Leslie Castle. I am a UX architect in the SAP S/4 HANA Regional Implementation Group. In this video, you will learn how to adapt the UI of a list report app using Key User Extensibility. Here we'll be looking at what is a Key User and what is Key User Extensibility. We'll be looking at the prerequisites for Key User Extensibility, and then we'll move on to a demo of Adapt UI, which is the feature of Key User Extensibility that allows you to change standard SAP Fiori elements reports we'll show you how to recognize a list report app we'll look at hiding or removing buttons we'll talk about overriding texts adapting filters and finally we will finish up with saving and publishing your adaptations so you can transport them to other systems we will then finish up with key takeaways so that you know the key points to key user extensibility and finally we'll have a quick look at resources worth knowing so here we're going to look at what is a key user and key user extensibility so a key user is a business expert who makes changes on behalf of other users key user extensibility is low code and no code tooling that is upgrade safe and clean call compliance that allows you to make common changes. These common changes could be, for example, hiding and showing optional fields, buttons, tabs, and cards, reorganizing fields, presetting defaults, adding custom fields, and adding standard SAP fields that are not currently used. A key user could be one of a number of people, for example. It could be a functional consultant who makes use of the low-code, no-code tooling and the low entry level. It could be a subject matter expert, it could even be an IT resource or developer. Pretty much anyone can pick up this low-code, no-code tooling very easily and there's a low entry bar. Here we're going to look at the prerequisites for key user extensibility. First you must be authorized to use AdaptUI which as mentioned is the feature of key user extensibility that allows you to make changes to standard SAP apps and to do that also have that authorization you need to have the role shown here SAP underscore UI underscore flex underscore key underscore user or custom equivalent assigns your user and you can confirm in the user actions menu that this has indeed been done by checking to see the adapt UI menu option is there as shown in red here. If you're worried about breaking something there's nothing to worry about you can reset the UI to the default standard SAP app at any time. So here we'll move on to the demo. So this demo is going to be carried out on an SAP S/4HANA  2023 feature pack stack three system. So the first activity I'm going to do is to check we're looking at the correct SAP Fiori app. So to do that, I go to the user actions menu and click on about, and here we can see we are looking at SAP Fiori app ID F0711, manage customer line items. This is indeed the app I want to change. And you can also use this information to look up all the relevant configuration and implementation information in the SAP Fiori apps library. So let's just close this. Before I go into the Adapt UI mode, let's just have a quick look at a list report or the list report here. You can see there's filters across the top and a tablet display of data at the bottom. If you select line items in the table, you can see these buttons become enabled. There's also a gear icon here where you can configure the fields that you're displaying and sort them and group them and so on. So now we know what a list report is and we're certainly working with the right app I can go back to the user actions menu and click on adapt UI. So this message here is just saying if we have personalizations they won't be loaded into the adapt UI feature so we can just click on OK to proceed. So now we're in the Adapt UI functionality we can see across the top there are three tabs, UI adaptation which is where you make your changes, navigation which is where you navigate to other parts of the app to make your changes and visualization where you can see the changes you've already made. So let's start with a navigation tab so I can go to the navigation tab and if I didn't have data I would just click on go and that would show the tabular data here so now we're in the part of the app where we actually want to make changes we're going to look at making two changes we're going to change the text of this button and remove the text for this button so if you go back to the UI adaptation tab you can see as you drag your cursor across the screen. Various parts of the screen become highlighted so in each part of the in the highlighted screen is where you commit your changes and we'll get on to those shortly. Here we can see the filters which can be configured and customized by clicking and clicking on adapt filters and you can configure filters as you wish here. So let's get want to make the two changes we were talking about so the first change is the view mass change logs button so i'm going to right click on this button and click on rename because i want to change the text i'm going to change this from view to display so you can see that change there and then i'm going to come down here and remove this buttons this edit line items button is one that we want to remove completely so right click on this and then click on remove you can see the buttons gone so before we get on and save our changes it's worth pointing out that this adapt UI feature is being demoed on a list report app it it's very important to understand the adapt UI feature is available for lots of other types of floor plans as well we're simply using a list report as an example to show you the low-code, no -code features of AdaptUI to allow you to make simple key user changes. So now we have our changes made. We've made the two changes. I'm just going to go here and activate our changes and activate a new version and we can see that's activated so now before doing anything else I just want to test my changes are working so I'm going to close down the adapt UI mode and go back to the Fiori app itself and the launch pad and start the app again so you can see here I've loaded data into the app and you can see the text here is change from view mass change logs to display mass change logs and the edit button has been removed here so now we know the apps working correctly I can go back into the adapt UI feature and in the visualization tab we can also see changes here and that they're working correctly. So now we know everything's working correctly I can go back to the UI adaptation tab and we can look at transporting this. So if I click on the transport button here that's going to allow me to select a transport which will further allow me to move this change to other systems in our landscape so there we have seen how to make key user changes and how to save these changes and move them to other systems within your landscape it's important that you understand that we've saved the changes against the original app here it is possible to save changes against something called an app variance and an app variant is essentially like getting two apps for the price of one you can assign the original app to one group of users and the app variant to a second group of users with your changes in app variants are clean call compliant and upgrade safe and you can find further details on them in the SAP Fiori launchpad administration guide in the SAP Help Portal so that brings us to the key takeaways. Adapt UI is recommended for least effort, upgrade safe and clean core compliance extensions. AdaptUI is a common technique that applies to many SAP Fiori apps. The example we used was a list report app, but the same AdaptUI technique applies to other floor plans as well. AdaptUI can be used to save the changes to the original SAP app for all users, or you can save your changes as an app variant and essentially get two apps for the price of one in an upgrade safe and clean core compliant manner. You make your changes in development and then save and transport them to production as with other changes. The adapt UI features depend on the app floor plan and the SAP S/4HANA release.
