Adding an Out-of-Pocket Expense to an Expense Report  If you pay for an expense with your own money, you will need to create an out-of-pocket expense to account for the transaction. In the following example, you will see how to expense a printer cartridge that was purchased out of your own pocket. To add an out-of-pocket expense to your expense report, from the Open Report, select Add Expense, and then for this example, on the Create New Expense tab, select the Office Supplies expense type. Your company defines the fields in the form on the New Expense screen. Complete all the required fields (designated with a red asterisk) and any additional information defined by your company. First, select the Transaction Date, and then select the date of the transaction from the drop-down calendar. Next, enter the Business Purpose, and then verify that the Payment Type is Cash/Out of pocket. If you did not pay for the expense out of your own pocket, you can select Company Paid from the Payment Type dropdown list. Enter the transaction Amount. In this example, a receipt is required for the transaction. Select the Receipt Status dropdown arrow, and then select Receipt. Next, select Add Receipt. You can select a receipt from the Available Receipts tab, or you can select Upload New Receipt. For this example, select the Staples receipt. Verify that you selected the appropriate receipt image, and then select Attach. After you finish entering the information on the New Expense form, select Save Expense. The new out-of-pocket expense is added to your expense report in addition to your company paid expenses.
