Adding Fixed Allowances to a Request You can add expenses to your request to help estimate the total cost of your trip when your company has pre-set travel allowances for lodging and meals. In the following example, you will see how to add fixed travel allowances to your request for a hotel stay in Seattle. To begin, on the SAP Concur Home page, from the Quick Task bar, select New... and then select Start a Request. On the Create New Request page, complete the required fields (indicated with an asterisk), and any additional fields as directed by your company. After you enter all the appropriate information, select Create Request. The request is created. Next, you will add your Expected Expenses. Select Add. In the Add Expected Expense window, you will see Daily Allowance and Daily Allowance (Lodging). These expense types are configured to calculate an amount based on the arrival city and duration of your trip for both your meals and lodging. Select the Daily Allowance expense type to request your meal expense allowance. On the New Expense screen, search for and select your arrival City. In the Transaction Date field, select the calendar to locate the date of your transaction. The Transaction Amount field is read-only and will be automatically populated based on the City, Duration, and your company's fixed rate calculation for the arrival city. Note that the Duration field is pre-populated based on the Start and End dates that you selected on the Create New Request page. After completing the appropriate fields, select Save. After saving the expense, you will see the calculated amount based on the fixed allowance. Next, select Add to request your hotel expense allowance. In the Add Expected Expense window, select Daily Allowance (Lodging). Complete the appropriate fields... and then select Save. After saving the expense, you will see the calculated amounts for both your meals and hotel based on the fixed allowance. After entering your fixed expenses, submit your request.
