Adding Participants to Guided Sourcing Events in SAP Ariba

This video will review how to add participants to an event within SAP Ariba Guided Sourcing. Event participants within SAP Ariba Guided Sourcing are the external contacts from supplier organizations that will respond to the event. Participants that have been added to a published event will be notified through email that they have been invited to an open SAP Ariba sourcing event and are prompted to respond to the questions and pricing through their SAP Business Network account. Participants can be added to a drafted event within the Suppliers section of the event. A guided sourcing project must be completed with the required event type, header fields, and template. Upon the initial draft of the event, the Suppliers tab can be located between the event duration and the items that need quotes tab. Project owners can add suppliers using the Invite Suppliers icon and using the supplier search filters to find the supplier that they want to interact with. The search contains filters to the left of the screen which may have pre-populated values based on their header field selection. The filter values can be changed, and suppliers can often be located by searching for the organization name or contact filters. The supplier search will preview existing suppliers that have already been added through SAP Ariba sourcing or supplier lifecycle and performance management supplier request forms. New contacts can be created and associated with existing suppliers using the create new contact option. They will need to locate the organization that the contact works for and then enter the contact details for the individual, including their name, last name, email, phone number, locale, and user ID. The Create New Supplier options will redirect approved users to complete a supplier request form, which serves as an intake form for new suppliers. The form includes questions about the supplier, the project owner is to complete before the form is submitted for approval and the supplier lifecycle and performance management process is initiated. The project owner can select multiple suppliers within the search and choose the invite option to add them to the event. The amount of participants depends on the event type, size, market competition, lotting structures and timing rules. Ideally, auctions do not have an abundant amount of participants as they run over short periods of time and prices are driven by competition in real-time with all parties in attendance to the event at once. RFI and RFPs may have more participants responding within a more open-ended forum where timing rules are longer and responses come in at the supplier's convenience.
