Auto-Distribution - SAP Fieldglass

Did you know you can automatically distribute your Job Postings to Suppliers? SAP Fieldglass offers Buyers the ability to create Distribution Lists for their various Job Postings and associated Suppliers. These lists define the Preferred, Mandatory, Optional, or Disallowed status of Suppliers assigned to a particular labor category, as well as any assigned levels or tiers associated to the Job Posting distribution. In some cases, you may want to skip the step of individually selecting, managing, and sharing a Job Posting with your supply base.... ..And instead, have the Job Posting distributed automatically to the suppliers that you've defined for specific labor categories. By enabling the Auto Distribute functionality, The SAP Fieldglass application can distribute Job Postings automatically to suppliers on a distribution list once the defined approval is completed. First, you will need to confirm that the configuration  "Enable Auto Select Distribution" is active for your company, which may require assistance from a Fieldglass support representative if not actively enabled. Once that initial step is confirmed as completed, you can simply manage the applicable distribution rule on each Job Posting Template you have defined in the application. Some of the main benefits of this functionality include: Improved cycle times achieved through immediate delivery of Job Postings to a defined supply base. Efficient program management achieved through removal of manual coordinator and distributor actions in the application. Supplier engagement improved through faster Job Posting delivery and increased time for Supplier response. Let's say you have a Distribution List defined for suppliers that support IT Services at your company. The object has been created in Fieldglass and is titled "IT Distribution List" with its associated suppliers and tiers defined accordingly. To manage how the distribution will work for each Job Posting, we can navigate into any Job Posting Template with the technical "IT" category, Edit the object, And review the distribution settings established for the template. We can then look to update or modify the Distribution Rule to reflect: "Automatically distributed to suppliers specified in the template after final approval" to achieve our desired no-touch distribution outcome. Here's how you can confirm and view the Auto Distribution settings on an applicable Job Posting Template. Once logged into the   Fieldglass application, the program user can navigate to the Job Posting Template and search for a template within the technical labor category as seen here in the List view, the user selects the "Data  Network Engineer" template title, and clicks into it - to view further details. Scrolling down through the details, the user can see that the labor type category is "Technical". Moving further down to the distribution settings, the user sees that the Distribution Rule matches the required "Automatically Distributed to Suppliers specified in the template after final approval". The user also confirms the proper distribution list - "IT Distribution List" - is enabled. If any of these values were not properly reflected, the user can simply choose to EDIT the template and make the needed changes. The user can then navigate to VIEW a Job Posting affected by this distribution list rule. As seen here, a Job Posting has been submitted for the "Data and Network Engineer" and is "Pending Final Approval" by the buyer. After clicking on Approve, the Job Posting is now distributed automatically to the supply base as defined in the distribution list. If the user navigates to the "Approvals/Audit Trail" for the Job Posting, they will see that the "Approved" and "Auto Distribute" actions occurred at the same time. The user can also click on the Distribution tab of the Job Posting to see the details -  and time and date stamp associated to the distribution - and which suppliers have received the Job Posting for response or action against. The following elements should be considered when looking to utilize Auto Distribution with Job Postings in Fieldglass. The affected distribution lists must have at least one supplier defined as Preferred or Mandatory. As Auto Distribution will not deliver Job Postings to Optional or Disallowed suppliers. This setting can not apply if the buyer requires supplier selection after approval as the Auto Distribution setting occurs immediately upon the approval in Fieldglass. Due to the automation involved, specific suppliers cannot be individually selected from the distribution list at the time of the Job Posting submission. The Auto Distribute setting is not required for use in all Job Posting Templates And is customizable per the buyer. Customers with defined distribution lists with clearly established suppliers for their labor categories should enable Auto Distribution to eliminate manual processes and lengthy operational cycle times. In Summary, the Auto Distribution functionality allows Buyers to efficiently manage their Job Postings in SAP Fieldglass. The setting is customizable, flexible, and easy to enable on all Job Postings. And that's how Auto Distribution on Job Postings works.
