Constructing External Case Creation Pages through SAP Advanced Workflow in SAP SuccessFactors Incentive Management

Hello, I'm Amy and in this video I'll show you how to configure and share public case creation pages allowing guest users to create new cases in Workflow. Public case creation pages are a type of form that allows non-registered or guest users to create new cases in Workflow without a username and password. The Public Case Creation Page Wizard provides a link that can be distributed to users through email or another communication channel. The link can also be added to a website for ease of access. For example, if you use the onboarding workflow, you might want to add a link to the form on the Careers page of your website. In the Workflow Setup menu, I'll hover over Fields and Forms and click Public Case Creation Pages. Here, I can manage existing pages and create new ones. I'll start by clicking New Public Case Creation Page. The wizard walks users through three steps. The first step is building the form and is completed with the form designer. The top is where I'll select standard and custom fields and other user interface components to add to the form. The bottom portion allows users to design the layout of the elements. Elements can be added, removed, and rearranged using a drag and drop method. Now I'll click Next. The second step is defining the settings and behaviors of the widget. In the Basic Settings panel there are three required fields. First name the widget. Next assign the widget to a specific workflow. The workflow I select here is the workflow that the case travels through once the case is created. Finally select the initial case status. This is the status the case enters first upon creation. By default the guest user will be able to select a case name, the default project, and default priority of a case. However, if I want to control these parameters instead, I can add them here. In this example, I'm going to set the default project to onboarding because I want to ensure that every case created with this page belongs to the onboarding project. In the notifications panel, I can configure notifications sent to users when the case is created. By default, notifications are enabled for all actions, including case creation. But I can turn off notifications by using the On-Off selection. Once the widget has been saved, I can edit to configure post actions and events. Since this case creation widget has not been saved, I will move to an existing one to edit and show you the two options. Post actions are actions applied after the action itself executes. In other words, a post action on a case creation widget executes once the case is created. To manually create a new post action, click New Post Action to define the rules or configure post actions with scripts. The Events panel allows me to configure scripts which execute before, during or after the action, or when the action is submitted or canceled. An asterisk tells me that there are events configured before showing the form, after changing the value of the custom field, and on submit. I'll open on submit to reveal the script execution order. Here I can edit or remove the script. In the style and position section, I can configure the width of the page by entering pixel or font size. In the final step of the wizard, Workflow displays the link needed to either distribute to guest users through email or another communication channel or to embed on your website. To view the page, copy and paste the link into a browser. Here is the form that was created using the wizard. This is useful for editing and Quality Assurance. To access the link from an existing widget, begin from the Public Case Creation page workspace in the Fields and Forms menu. To access the code, click the Actions icon and then click View Link.
