Creating a User in Embedded Analytics - SAP SuccessFactors Incentive Management

My name is Lily. In this video, I'll show you how to create users in IAS or Identity Authentication Service. There are three ways to create users in IAS. Manual creation, import users, and IPS or Identity Provisioning System. Let's say you have a customer in Europe, Eric, who has several new people he needs to give access to embedded analytics for SAP commissions. Eric has a new admin, Stacy Miller, who needs access to create stories, teams, folders, share stories, and migrate stories across tenants. Julia Martinez is in finance and needs access as an author to create stories and share stories. Sandra Wong is a data analyst who needs access as an authenticator to view the data from time to time. I'll show you the manual steps needed to add each of these users. First, I'll add Stacey as an administrator. I'll start by logging into IAS, or Identity Authentication Service. Note, only users with IAS admin privileges can carry out this task. I'll go to Users and Authorizations, User Management. This is where we can create and update users for embedded analytics. To create a new user, I'll click Add User. I'll enter the user details, and save. The user has been created. The next step is to assign Stacy to user groups. It's important to know what type of user you are being asked to create in order to assign them to the correct application. Is it a viewer, author, or admin? Stacy is an admin. I'll go to Assign Groups. I'll select App Scan. This is a must. Whether it's a viewer, author, or admin, you have to assign App Scan. App Scan gives the user access to embedded analytics. Next, we need to assign Stacey access to the application. Since she's an administrator, we need to select Administrator Com Scan. This gives the user access to admin rights, which allows them to create stories, teams, folders, and share stories. And I'll click Save. Now we need to add Julia from Finance as an author, since she only needs to create and share stories across tenants. I've already created the user Julia. I'll follow the same steps as above to assign her to a user group. First, I'll select App Scan. Next, I'll assign Julia access to the application. This time, I'll select Author Com Scan. This gives the user the ability to create and share stories across tenants. And I'll click Save. Finally, I'll add Sandra, a data analyst, as an authenticator, since she only needs to view data from time to time. I've already created Sandra. Following the same steps as above, we'll select App Scan. This time, I'll select Authenticated COM Scan. This will allow the user to view the data. Note that for Embedded Analytics for SAP Commissions, it's important to select COM. Stacey, the new European Region Admin, also needs administrative access to IAS to create and manage users and user groups. To add a user in IAS, I'll click Users, and Authorizations, Administrators, and Add User. I'll enter the user details, select On for Manage Users, and save. Only add a user as an administrator for IAS if they are familiar with how to use IAS. The second way to add users in IAS is to import users. For example, let's say Eric, our customer, wants to add 25 new finance users. He can import the names using the Bulk User Creation template. I'll populate the template. Under Groups, I'll enter App Scan and either Administrator Com Scan, Author Com Scan, or Authenticated Com Scan. I'll save the file as a CSV format. Now I'll go to IAS. I'll click Import Users, and select Sales Cloud Analytics for SAP. This is where you want users to be added. I'll enter the file name I created. I'll click Import, and click OK. Now you can send an email to them advising that their user ID has been created, and they can now log into embedded analytics or SAP commissions. The third way to add users is through IPS. Stacey, as an admin, needs to sync data between systems, source systems, and data systems. She'll need access to IPS. To give access to Stacey, I'll login to IPS. I'll click authorizations and click add. I'll enter a user ID. Note, IPS only works with I, C, D, and S numbers for user ID. I, C, and D are for SAP employees and S IDs are for customers. I'll enter a display name. Under Configure Authorizations, I'll select On for Manage Identity Provisioning, Manage On-Premise Connections, and Manage OAuth Clients, and I'll click Save. Now Stacey has access to IPS and she'll be able to schedule jobs. Normally, when Embedded Analytics for SAP Commissions, System, and IAS are provisioned, you will see two source systems, Commissions and IAS. In the target systems, you will also see two systems, IAS and SAC. SAC is Embedded Analytics. In IPS, I'll click Source System. I'll click Comm Source System and click Jobs. I'll click Read Job Schedule and Schedule for every half an hour. Then, I'll click OK and Resume. Now, every time a commission's user gets created or changed, it will automatically get synced with IAS. Note, this is usually only done one time. Once you schedule it, there is no need to return here. Next, I'll go back to Source System. I'll click IAS Source System and click Jobs. I'll click Read Job Schedule and schedule for every half an hour. Then, I'll click Resume. Now, every time an IES user gets created or changed, it will automatically get synced with Embedded Analytics. Note, this is usually only done one time. Once you schedule it, there is no need to return here. Once the IPS jobs have successfully run, users will have access to embedded analytics. Note, when users are created in IAS, the users groups are not automatically assigned. A generic user group called AppCom is created. A change needs to be made in IAS target systems in order to assign the correct user groups. This is a one-time change. I'll click Target Systems. I'll click IAS Target System. Then I'll click Transformation. I'll click Edit and scroll down to Constant App Com. I'll select from Constant App Com to Target Path Dollar Group Zero Value and replace with this one. And I'll click Save. This will ensure that every user that is imported from commissions to IAS is created as a viewer or authenticated, since most of these users are payees. This should be done before you sync commissions to IAS. In this video, I showed you three ways to create users in IAS, manual creation, endpoint users, and IPS. Thanks for watching!
