Creating Requests for Information (RFI) in Guided Sourcing in SAP Ariba

Today's video will review requests for information within SAP Ariba Guided Sourcing. A Request for Information, or RFI, is an event that is used to collect information from the participants. RFIs are non-competitive, and participant responses are never shown to other participants. RFIs can be open for an extended period of time, allowing suppliers to log in and respond at their convenience. RFIs are often used to collect information from suppliers to narrow supply bases for future auctions, learn supplier capabilities, qualify suppliers prior to bidding, or allow suppliers to market their qualifications and strategies. When it comes to creating a guided sourcing RFI in the system, users will create a guided sourcing project, then choose Single Event and set the event type dropdown to RFI. Project owners creating RFIs will need to complete the required fields in the project name and type section, as well as the detail section before selecting a template to begin building the RFI. There is a standard RFI template that comes out of the box with SAP Ariba Guided Sourcing, which will have predefined settings to simplify the event creation process for the project owner. A new guided sourcing project will be created with the docID after the template is selected and required header fields are completed. Now that there is a project workspace for our RFI, project owners will want to review each of the sections in addition to checking the team and event rules. Before the event can be published, project owners will need to review the rules, participants, team and then add their content. There will be fewer rule settings to modify compared to competitive event types and the event content will consist mostly question and answer when it relates to RFIs. First, we can view or edit the team by going next to the title of the event and selecting the team icon next to it. Here the project owner can add new groups, message, or edit group assignments with a pencil icon visible. The team is used to collaborate with internal teammates on certain areas of the project if needed. Next we can check the event rules which can be located right below the team and adjacent to the ID, or the rules can be also set by going to the ellipsis points by the Publish icon and selecting Set Event Rules. Project owners should check event rules before publishing, but note that most RFIs do not have a lot of delegated rules that need to be altered from the default template setting. With our team and rules checked, we are ready to now complete the other sections of the event. Project owners will see a tab for each area of the event, including the tasks, event duration, suppliers, items that need quotes, and questions, requirements, and attachments. The Tasks section shows a placeholder for an approval to publish task, which is automated by default, but is visible for reference and can be edited if additional approvers or watchers are desired. It allows the option to have a review of the event go to a project group or teammate before it can be published and invites are emailed to the participants. Next is duration, which specifies how long the event will be open. Third is the suppliers section, which is a list of participants from each company that will reply to the event content. Choose the Invite Suppliers to search for and add suppliers to your event participant list. The Items That Needs Quotes section is available to collect pricing through line items. Line items can be created within RFIs by adding a name and a quantity, but not all line item attributes are available. More common RFI content are sections including questions, requirements, and attachments to collect more information before a follow-up, competitive event is done where pricing can be collected more granularly and suppliers can see each other's bids and rankings. Once all content and at least one supplier are added, and the duration, rules, and team are all reviewed, the event can be published. The suppliers will be notified and submit their responses and the event will end.
