Creation of Templates for Bank Statement Reprocessing Rules - SAP S/4HANA Finance

Hello and welcome to this microlearning session about working with templates for reprocessing rules in SAP Cash Application. My name is Anita. I'm a user assistance developer and will explain how you can use the intelligent technology in SAP Cash Application to reach a high degree of automation in your bank statement processing, and thus ease and speed up your and thus ease and speed up your daily workflows. Here's the feature I want to show you - templates for bank statement reprocessing rules. In this microlearning session, you will learn the following: what reprocessing rules for bank statements are, and how they can help you avoid repetitive manual tasks in your daily work as an accountant, how you can trigger the creation of templates for reprocessing rules, and how the system can help you to identify efficient reprocessing rule templates, and how you can create reprocessing rules based on templates. Here you can see the entire process of bank statement processing in SAP S/4HANA Cloud. I will explain the points that are the most important for you to understand in this microlearning session. On the left side you can see how your bank accounts could be connected to the system. We call this multi-bank connectivity (MBC). As for posting your bank statement items, there are different approaches. The most common and traditional approach is using posting rules. Among other things, posting rules use transaction type codes on bank statements to post your bank statement items. This is an older approach that may not suit all of  your business needs. Another more up-to-date approach is using the intelligent technology of SAP Cash Application. Here, the system evaluates the past data and learns about your posting and clearing patterns. The system then posts your bank statement items automatically based on your past data. The advantage of this approach is that you reach a high degree of automation in your daily workflow, and the system is able to adapt to new patterns that it detects in your postings. That said, you need a large amount of past data in your system and you need that data to be correct. Another approach that allows you to have more control on how you post your bank statement items is using the reprocessing rules. With the reprocessing rules, you can define how a bank statement item is posted when it fulfills certain conditions. What I would like to show in this microlearning session is the combination of the approaches of SAP Cash Application and the reprocessing rules. This combination provides you a way to use the intelligent technology of SAP Cash Application to evaluate your past data, to actively control which reprocessing rules the system should use to post your bank statement items, and to reach a higher degree of automation in your daily work. In short, the system evaluates your past data, and based on that creates templates for reprocessing rules. You can select which templates are the most useful for your work and turn the templates into reprocessing rules, which you can then share or automate, or use manually on your bank statement items. Now let's have a look at this in the system. Imagine you're about to have busy day at work, and now you see that there are many uncompleted bank statement items that need to be posted. Of course you could go through all of them manually, or you could use the intelligent technology of SAP Cash Application that evaluates the past data and, based on the pattern it finds, suggests templates for useful reprocessing rules  for you. In order to use this feature, you need to do two things: trigger a job that creates the rule templates and then create a reprocessing rule from a job template. To do that, you go to the Schedule Accounts Receivable Jobs app. You click on the plus button to create a new job. In the General Information section, you select the correct job template, "Cash Application: Create Templates for Bank Statement Reprocessing Rules". If you want to, you can change the name of the job template, for example, "Our Rule Templates". in the Scheduling Options section, you can define when the job should run. In the Parameters section, you select the company code for which the rule template should be applicable. Then you can have the system check this job template to see if everything is all right. By clicking on the Schedule button, you trigger the job. That means the system looks into your past data of the selected company code, and creates templates for reprocessing rules. After the job is finished, you go to the Manage Bank Statement Reprocessing Rules app. By clicking on the Rule Templates tab, you can see all the templates for reprocessing rules that the system suggests to you. The KPIs in the columns can help you to decide which templates are the most useful for you. There is more information about that in the in-app help. Let's say we find this rule template useful for our work and would like to create a reprocessing rule based on it. So you select it. He can see the details. It shows what conditions a bank statement item needs to fulfill so that the rule can be applied to it, and how a bank statement item would be posted. By clicking on the "Create Rule from Template" button, you can create a reprocessing rule that is based on this template. You can change the name of the rule template, for example, "Rule for Company Car Costs". Once again, you can check if the conditions and actions are correct. By clicking on the Save button, the reprocessing rule "Rule for Company Car Costs" is created. You can find your new rule under the My Rules tab. There it is. Now you can use this just like other  reprocessing rules. That means you can automate it or share it, or use it for the manual reprocessing of your bank statement items. For example, if you go to the Reprocess Bank Statement Items app and check for applicable rules, you can find it in the list. Here it is. In a nutshell, what you've learned now is what reprocessing rules are and how they help you reduce your manual workload. How you can make use of the intelligent technology of SAP Cash Application to evaluate your past data and create rule templates based on them. How you can create
